Head Receptionist
We are looking to employ a Head Receptionist to join our friendly team.
This role requires customer facing client care and line management experience.
This is a full-time post that would suit someone who puts the client at the heart of their role, veterinary experience is not necessary but experience in a busy, service focused environment is.
We are looking for someone with great leadership skills and who enjoys managing and developing others; someone invested in their team's success, and who consistently champions their wellbeing and professional growth.
Full training on our systems will be given to the successful candidate who will be expected to use their own initiative, have a full driving licence and be available to work across all our branches in South Oxfordshire.
This role is full time (37.5hpw) with 1 in 4 shifts on the weekend rota (a Saturday or Sunday) plus 1 Bank Holiday a year.
Key Responsibilities:
- To line manage the reception team
- To carry out team performance appraisals and HAIDS
- To set clear and achievable goals with the reception team to ensure that standards are continually maintained and organisational goals are achieved
- To perform a training needs assessment on a regular basis both at team and individual level
- To investigate and respond to SA client complaints and concerns
- To provide a high level of support to the SA clinical function including:
- Co-ordinating all necessary functions within the reception team
- Ensuring rotas are efficient and timely and meet the business needs
- Maintaining accurate client records
- Delivering a high standard of customer care across all branches
- Telephone answering and ensuring that calls and queries are dealt with in a timely and efficient manner
- Monitoring, improving and developing processes and individuals within the team
- To facilitate the delivery of an effective debt collection process within the SA function, with the support of the accounts team
- To engage with the Operations Management team and ensure the smooth, efficient running of the practice on a day-to-day basis
- To handle payments and cashing up in line with practice protocol
- To organise and chair reception meetings where necessary
- To attend team and practice meetings as required
- To assist in any other project as identified by the Practice Co-Ordinator client care lead or SLT
