Personal / Executive Assistant (Remote)
We are recruiting on behalf of one of our clients for an experienced, proactive and highly organised Personal/Executive Assistant.
This is an exciting opportunity to support a busy CEO in a fast-paced, purpose-driven business. We're looking for someone who enjoys bringing structure to busy schedules, thrives on organisation, and takes pride in staying one step ahead.
This is a fully remote role, offering approximately 10–15 hours per week, spread consistently across five working days.
What we're looking for
- Previous experience as a Personal Assistant, Executive Assistant or Virtual Assistant supporting senior leaders.
- Excellent organisational and time management skills.
- Strong attention to detail.
- Confident using Google Workspace, Monday.com and Microsoft Office.
- Excellent written and verbal communication skills.
- Able to work independently and manage competing priorities.
- Professional, proactive and highly reliable.
Key Responsibilities:
Diary & Calendar Management
- Managing a busy diary.
- Scheduling meetings and coordinating appointments.
- Organising recurring meetings.
- Managing calendar changes and meeting invitations.
Travel & Logistics
- Booking international flights.
- Arranging hotels and accommodation.
- Booking trains, taxis and airport transfers.
- Preparing detailed travel itineraries.
- Making restaurant reservations and event bookings.
Administration
- Updating Monday.com with actions, deadlines and project updates.
- Maintaining action lists and following up outstanding tasks.
- Organising cloud-based files and documentation.
- Preparing meeting agendas and supporting documents.
- Providing day-to-day administrative support.
Expense Management
- Tracking expenses and receipts.
- Maintaining accurate expense records.
- Supporting month-end expense administration.
General Executive Support
- Helping the CEO stay organised and focused on priorities.
- Liaising with internal and external contacts.
- Supporting a variety of administrative and organisational tasks as required.
- Anticipating needs and solving problems before they arise.
The Hours
This role is for approximately 10–15 hours per week, worked across Monday to Friday.
We're looking for someone who can provide consistent daily support, ideally 2–3 hours per day between 9:00am and 5:00pm (UK time). Flexibility is appreciated, particularly when coordinating travel or managing changing schedules.
About the Role
Our client is a growing business with a busy executive team and a varied workload. No two days are the same, and you'll play a key role in ensuring the day-to-day running of the CEO's schedule is organised, efficient and well managed.
The role would particularly suit someone who enjoys executive support, has exceptional attention to detail, and genuinely enjoys making life easier for others.
