Cleaning Scotland is seeking an ambitious, organised and motivated Assistant Services & Quality Manager to join our growing support team based at our Glasgow Head Office.
This is a varied and developmental management role designed to support the day-to-day operation of both the Services and Quality Assurance departments. Working directly alongside the Services & Quality Manager, the successful candidate will assist in the planning, coordination and delivery of specialist cleaning projects, quality assurance processes, compliance administration, payroll coordination and departmental support activities.
The role has been created with succession and development in mind. The successful candidate will act as deputy to the Services & Quality Manager and will be expected to oversee departmental activities during periods of annual leave, absence or increased operational demand. Over time, they will be given increasing responsibility and ownership of key departmental functions, with a clear pathway into a future management position.
Whilst previous management experience is not essential, applicants should demonstrate strong organisational skills, confidence in dealing with people, excellent attention to detail and the ability to take ownership of responsibilities and projects.
Key ResponsibilitiesServices Department Management & Support
- Assist with the scheduling, planning and coordination of specialist cleaning works and projects throughout the UK.
- Liaise with clients regarding project requirements, attendance arrangements, access requirements and service delivery.
- Ensure all permits, risk assessments, method statements and health and safety documentation are completed and in place before works commence.
- Coordinate labour resources, accommodation, travel arrangements and site access requirements where necessary.
- Support field-based operatives and subcontractors throughout projects, ensuring welfare, communication and operational requirements are met.
- Monitor project progress and assist in resolving operational issues as they arise.
- Ensure projects are delivered safely, professionally and in line with client expectations.
Departmental Leadership & Deputy Responsibilities
- Act as deputy for the Services & Quality Manager during periods of annual leave, absence or business requirement.
- Assist with the day-to-day management and prioritisation of departmental workloads.
- Support the management of field-based operatives and subcontractors.
- Assist in the implementation of departmental processes, procedures and service improvements.
- Escalate operational, compliance or client concerns where appropriate.
- Develop a thorough understanding of all departmental functions with a view to assuming greater management responsibility over time.
- Contribute to the ongoing growth and development of the Services Department.
Payroll & Administration
- Coordinate departmental timesheets and attendance records.
- Assist with payroll preparation and submission processes.
- Review, verify and process employee expenses and supporting documentation.
- Ensure accurate record keeping and administrative compliance within company systems.
- Liaise with Payroll and Management teams to ensure timely and accurate processing of information.
Quality Assurance & Compliance
- Assist in the administration and management of quality assurance processes across the business.
- Monitor audit completion and ensure required documentation is uploaded within agreed timescales.
- Review information held within Access Maintain and other company systems to ensure accuracy, completeness and compliance.
- Liaise with operational teams to address outstanding audits, actions and compliance requirements.
- Produce reports and management information as required.
- Support continuous improvement initiatives across the quality assurance function.
HR & Onboarding Administration
- Assist with the administration of new starter onboarding processes.
- Coordinate electronic documentation through DocuSign and associated systems.
- Ensure employment, right-to-work and compliance documentation is received, checked and correctly processed.
- Support the integration of employee information into Sage Payroll and other business systems.
- Assist with maintaining employee records and ensuring compliance with company procedures.
- Support HR administration activities as required.
General Business Support
- Work collaboratively with Operations, Payroll, HR and Senior Management teams.
- Provide support across multiple departments where required.
- Contribute ideas and initiatives to improve efficiency, systems and service delivery.
- Assist with project work, process improvements and business development initiatives.
- Support the company’s continued growth through proactive involvement in departmental and business-wide objectives.

- Experience using systems such as Sage Payroll, DocuSign, Access Maintain, workforce management or compliance platforms.
- Previous experience supervising staff or coordinating operational activities.
