We are the largest independent supplier of skin-packed and bulk fish to large multiples, wholesalers and the food service sector. Copernus is a 220+ strong family run business, who recognize our staff are pivotal to our continued success.
ROLE PURPOSE:
The Logistics Administrator is responsible for coordinating and supporting all logistics activities within a fast-paced fresh fish production environment. The role ensures the smooth movement of products in and out of the factory, maintaining accurate records, meeting customer service levels, and acting as a key point of contact between internal departments, customers, and transport providers.
ROLE RESPONSIBILITIES:
Logistics & Transport Coordination
· Book and manage inbound delivery slots (inloads) for raw materials and packaging.
· Book and manage outbound delivery slots (outloads) for finished products.
· Liaise with transport providers, customers, and warehouse teams to ensure timely collections and deliveries.
· Monitor transport schedules and proactively communicate any delays or issues.
Despatch Administration
· Maintain accurate despatch records for all outgoing deliveries.
· Ensure pallet quantities are recorded correctly and match customer orders.
· Generate, check, and distribute delivery notes and associated shipping documentation.
· Verify all despatch paperwork is completed accurately and filed appropriately.
Customer & Supplier Communication
· Act as the main point of contact for logistics-related enquiries from customers, suppliers, and transport companies.
· Respond to Customer Delivery Request (CDR) enquiries and ensure all requests are actioned within agreed timescales.
· Build and maintain positive working relationships with internal and external stakeholders.
Service Level Management
· Support the achievement of customer service level targets by ensuring accurate and timely processing of logistics activities.
· Monitor order fulfilment and delivery performance.
· Escalate any risks to service levels promptly and support corrective actions.
Administrative Support
· Maintain and update logistics databases, trackers, and reporting systems.
· Produce daily and weekly logistics reports as required.
· Ensure all records are accurate, up-to-date, and compliant with company procedures.
· Support stock and pallet reconciliation activities when required.
Holiday Calendar Management
· Maintain and update departmental holiday calendars.
· Work alongside the Logistics Manager & Supervisor to Help Monitor annual leave requests to ensure adequate operational coverage.
· Coordinate with managers to support workforce planning and scheduling requirements.
SKILLS & KNOWLEDGE:
· Previous administration experience within logistics, transport, warehousing, manufacturing, or food production.
· Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
· Excellent attention to detail and accuracy.
· Strong communication and interpersonal skills.
· Proficient in Microsoft Office applications, particularly Excel, Outlook, and Word.
· Ability to work effectively under pressure and meet tight deadlines.
