Job Purpose:
To provide central coordination and administrative support across the Operations and Supply Chain function, ensuring efficient delivery, strong organisation, and effective control of logistics, suppliers and operational readiness.
This role focuses on delivery enablement, not customer handling or job creation, and plays a key role in ensuring that jobs are:
- Fully prepared
- Properly resourced
- Accurately documented
- Ready for invoicing
The role supports how work is delivered, not how it is booked or managed with the customer.
Key Responsibilities will involve, but not be limited to
Logistics & Delivery Support
- Coordinate travel, hotels and parking for operational teams
- Ensure all job logistics (equipment, materials, access) are in place prior to job start
- Support Regional Operations Managers in preparing jobs for successful delivery
Mobilisation Support
- Support delivery of mobilisation plans in partnership with Operations and Customer Excellence
- Coordinate supplier setup, logistics and documentation for new contracts and projects
- Ensure operational readiness ahead of service commencement
Supply Chain Coordination & Administration
- Coordinate onboarding of subcontractors, ensuring compliance and documentation is complete
- Maintain accurate supplier database, rates and records
- Raise and track purchase orders and operational costs
- Act as a key contact for subcontractors and agency suppliers
Subcontractor & Agency Coordination
- Support day-to-day coordination of subcontractors in line with operational requirements
- Ensure subcontractors are correctly set up and engaged for delivery
- Track timesheets, hours and approvals
- Liaise with Finance on supplier invoicing queries
- Support collection of subcontractor performance data
Systems, Data & Client Portal Discipline
- Maintain accurate operational data within JobWatch and internal systems
- Ensure field teams and subcontractors:
- Complete job updates
- Upload photos and documentation
- Use client portals correctly
- Track and highlight missing or incomplete job information
- Produce reports on:
- Job readiness
- Data completeness
- Subcontractor usage
Focus on ensuring jobs are fully documented and ready for invoicing
Compliance & Documentation
- Ensure RAMS, certifications and documentation are in place before job commencement
- Maintain compliance records across operations and supply chain
- Support audits and compliance processes
Fleet & Equipment Coordination
- Coordinate servicing, repairs and compliance of vehicles
- Maintain fleet records
- Coordinate hire equipment and specialist suppliers
General Operations Support
- Provide coordination support to Regional Operations Managers and Head of Operations
- Act as central point for operational and supplier queries
- Support reporting, tracking and follow-ups
Note:
This role does not manage customer enquiries, quotations, job logging or scheduling. These responsibilities sit within the Customer Operations team.
The Operations Co-ordinator focuses on supporting delivery, supply chain coordination and operational readiness once work has been planned and allocated.
Pay: £40,000.00-£45,000.00 per year

Experience:
- Facilities management: 4 years (required)
