Overview
We are seeking a proactive and highly organized Personal Assistant to support executive leadership in managing daily operations and administrative tasks. Responsibilities
- Manage calendars, schedule appointments, and coordinate meetings with precision and professionalism
- Handle incoming calls with courteous phone etiquette, directing inquiries appropriately and taking detailed messages when necessary
- Prepare and organize documents using Microsoft Office and Google Workspace tools, ensuring accuracy and timely delivery
- Perform data entry tasks accurately within systems such as Xero or other relevant platforms, maintaining up-to-date records
- Assist with travel arrangements, including booking accommodations and transportation logistics
- Support general administrative duties such as filing, photocopying, and maintaining office supplies inventory
- Facilitate effective communication across departments by drafting emails, memos, and reports with clarity and professionalism
Qualifications
- Proven administrative experience with a strong background in office management or support roles
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
- Experience with Xero or similar accounting software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Strong data entry skills with high accuracy and attention to detail
- Demonstrated ability to handle multiple responsibilities simultaneously while maintaining professionalism
- Exceptional phone etiquette and communication skills
- Typing speed of at least 60 words per minute is preferred
