Accounts & Client Payments Administrator
We are looking for a confident, organised and proactive Accounts & Client Payments Administrator to join our busy administration team.
This is an important role, responsible for managing outstanding client payments, maintaining accurate financial records and communicating professionally with clients regarding their accounts. The successful candidate will be confident handling sensitive conversations, have excellent attention to detail and be able to work closely with our Legal Team and Directors.
Key Responsibilities
- Monitoring outstanding client balances and chasing overdue fees.
- Setting up client files.
- Contacting clients by telephone and email regarding outstanding payments.
- Working with clients who are experiencing financial difficulties by discussing suitable payment arrangements and agreed payment plans.
- Recording payments, payment plans, due dates and all client communications accurately.
- Maintaining up-to-date payment schedules and ensuring records are accurate at all times.
- Escalating non-responsive or non-paying clients to the Legal Team and Directors where appropriate.
- Liaising with the Legal Team and Directors to report clients who are not in funds.
- Producing reports and maintaining spreadsheets to monitor outstanding accounts.
- Providing excellent customer service while remaining professional and firm when required.
Essential Skills & Experience
- Excellent knowledge of Microsoft Office, particularly Microsoft Excel.
- Strong administrative and organisational skills with exceptional attention to detail.
- Previous experience in credit control, accounts administration, debt recovery or a similar financial administration role is desirable.
- Confident using spreadsheets to record, monitor and report payment information.
- Outstanding telephone manner with the confidence to handle difficult conversations professionally.
- Excellent communication and negotiation skills.
- Able to remain calm, empathetic and professional when dealing with unhappy or distressed clients.
- Self-motivated, resilient and able to manage a varied workload.
- Able to work independently while collaborating effectively with colleagues.
