Receptionist and Administrator Guiseley, West Yorkshire
We are a successful, privately owned business with a registered Medical Clinic in Guiseley. We offer a range of exciting, innovative and safe skin treatments that help improve the lives of our clients. Our sister company, Skin Surgery Clinic, offers minor surgical treatments performed by leading, local consultants and doctors.
Due to our success and growth we are seeking a friendly and professional receptionist and administrator for our Guiseley clinic. Working as part of the administration team you will be the first point of contact for our patients as they enter the clinic or when they phone or email us. We have very high standards of professionalism and customer service and our patients expect to be treated with care, respect and compassion. Experience of working in a customer facing environment is essential.
It is a very busy team and you will need to have good levels of common sense and initiative, present yourself with confidence and possess excellent organisational skills. You will also need to have experience of using customer booking databases, telephone systems and Microsoft office (mainly email and word) and be willing to work flexibly to ensure our patients receive the best possible service. The ability to communicate with customers clearly and precisely through face to face contact, phone calls and emails is essential.
Previous experience of working in a clinic, in a patient facing role would be desirable, though full training will be provided. We also provide a high-quality uniform, and, after probation, staff discounts on treatments.
Key responsibilities:
- To deliver outstanding customer service at all times
- To maintain the reception and waiting area in a clean and tidy manner
- To respond appropriately and professionally to all enquiries
- To keep up to date with current promotions and pricing schemes
- To respond, in the first instance, to customer complaints
- To redirect queries to the most appropriate staff member
- To maintain patient records securely
- To undertake appropriate preparation for clinics, theatre lists and patient appointments
- Ensure that patients personal information is protected and that patient records are maintained securely
- Work with the clinical teams to ensure that our desire to provide a high quality patient centred service is maintained at all times
Required skills:
- Experience of reception duties, in a clinical, or customer facing environment essential
- IT literate, used to working with electronic patient records, payment systems and email
- Ability to plan, prioritise workloads and manage competing deadlines accordingly
- Excellent communication skills including active listening skills
- Excellent attention to detail
- Self-motivated and enthusiastic
