DMS Property Maintenance is a long-established, family-run business working across private, commercial and social housing sectors . We are looking for an organised and proactive Subcontractor Administrator to join our growing property maintenance team. This is a fast-paced role where you’ll be responsible for coordinating subcontractor works, managing repair workflows, and ensuring jobs are completed efficiently, profitably, and within client target times.
Working closely with operational teams, subcontractors, and clients, you’ll play a key role in ensuring repairs are accurately planned, scheduled, and completed to the highest standard while maintaining excellent service levels.
Key Responsibilities
- Manage and oversee subcontractor repair jobs from allocation through to completion.
- Schedule and prioritise works to ensure client target dates and SLAs are achieved.
- Ensure all job information, documentation, and supporting evidence are complete before works are closed.
- Monitor job progress and proactively resolve delays or issues.
- Track and manage KPIs, producing updates and ensuring operational performance targets are met.
- Review repair costs and help maximise profitability across subcontractor works.
- Liaise with subcontractors, suppliers, clients, and internal teams to ensure effective communication throughout the repair process.
- Maintain accurate records within the work order management system and ensure data quality at all times.
- Support continuous improvement by identifying opportunities to improve processes and performance.
About You
The ideal candidate will have:
- Previous administration experience within property maintenance, facilities management, housing, or repairs.
- Experience scheduling repairs or coordinating maintenance works.
- Experience using a work order management system.
- Strong organisational skills with the ability to manage multiple priorities in a busy environment.
- Experience monitoring and managing KPIs and service performance.
- Excellent communication skills and confidence liaising with subcontractors and clients.
- Strong IT and Excel skills
- A proactive approach with strong attention to detail.
- Ability to work independently and manage your workload effectively
Desirable Skills
- Knowledge of Schedule of Rates (SORs).
- Practical experience or a basic understanding of property maintenance trades or repair works.
- Experience working with subcontractors within a responsive repairs or planned maintenance environment.
Hours & Pay
- Monday to Friday 25 – 30 hours per week, Part-time position with flexible working hours
- This is a 12 month maternity cover contract

Pay: £16,550.00-£19,850.00 per year
Work Location: Hybrid remote in Folkestone (Kent)
