Production Administrator
Location: Gateshead, Tyne and Wear
Job Type: Full-time, Permanent
Salary: £27,000–£30,000 per year, depending on experience
The starting salary offered will reflect the successful candidate's previous experience, Excel ability and experience within production, manufacturing, construction or a similar fast-paced environment.
Working Hours
Monday to Thursday: 8:00am–5:00pm
Friday: 8:00am–2:00pm
About the Role
We are looking for an organised, proactive and reliable Production Administrator to join our busy manufacturing business in Gateshead.
Working alongside our production, installation and management teams, you will provide day-to-day administrative support to help ensure jobs move smoothly through the factory and out to our installation teams on site.
This is a hands-on administrative role in a fast-moving production environment. You will be dealing with spreadsheets, job information, suppliers, access equipment, hotels, site teams and production paperwork on a daily basis.
You do not need to be a Production Manager. We are looking for somebody who is highly organised, confident using Excel, comfortable working with numbers and capable of keeping on top of multiple jobs and deadlines.
Key Responsibilities
- Maintain and update production spreadsheets and job information
- Accurately input production, job and site data into Excel
- Maintain organised electronic and paper filing systems
- Prepare and maintain production and installation paperwork
- Obtain quotations and prices for access equipment, including MEWPs, cherry pickers and scissor lifts
- Arrange and book access equipment for installation teams
- Book hotels and accommodation for fitters working throughout the UK
- Maintain accurate records of bookings, costs and job-related expenditure
- Liaise with suppliers to obtain prices, availability and delivery information
- Assist with purchase orders and other production documentation
- Ensure site teams have the information and documentation required before attending site
- Communicate with fitters regarding accommodation, access equipment and job arrangements
- Support factory staff with production-related administration
- Keep job records and spreadsheets accurate and up to date
- Assist management with production reports and information
- Follow up outstanding information, prices, bookings and paperwork
- Provide general administrative support across the production department
Essential Skills
- Confident using Microsoft Excel
- Good general computer skills, including Microsoft Outlook and Word
- Accurate and confident with data entry
- Excellent organisational skills
- Strong attention to detail
- Comfortable working with numbers and prices
- Able to manage several tasks and priorities at the same time
- Confident communicating with suppliers, employees and managers by telephone and email
- Able to work independently and follow tasks through to completion
- Reliable and comfortable working in a busy production environment
Desirable Experience
Experience in any of the following would be advantageous, although training can be provided:
- Manufacturing or production administration
- Signage or graphics industry
- Construction or installation administration
- Booking access equipment or plant hire
- Coordinating engineers, fitters or site teams
- Purchasing or obtaining supplier quotations
- Production planning or job scheduling
What We're Looking For
We are looking for somebody who enjoys organisation, accuracy and getting things done.
You will need to be comfortable chasing information, checking details and making sure nothing gets forgotten. You'll be supporting several live production and installation jobs at once, so being methodical and able to prioritise is essential.
This position could suit an experienced administrator looking to move into a manufacturing environment, or somebody earlier in their career with strong Excel and organisational skills who wants to develop into a production coordination role.
Salary & Progression
£27,000–£30,000 per year, depending on experience.
There is scope for the successful candidate to develop their knowledge of production, manufacturing and installation operations and take on additional responsibility as they progress within the business.
