Key Responsibilities
- Raise and manage purchase orders with manufacturers (e.g. HPE Aruba, Fortinet, Juniper, Acronis, Splicecom) and distributors, ensuring accuracy of part numbers, pricing, quantities and delivery dates.
- Obtain and compare quotes from distributors and vendors to secure the most competitive pricing, deal registration and lead times.
- Process manufacturer deal registrations and special bid pricing to maximise margin on quotes and orders.
- Track open orders end to end — chasing acknowledgements, confirming dispatch dates, and proactively flagging delays or shortages to sales and project teams.
- Liaise with distributors on stock availability, backorders, RMAs, returns and credits.
- Maintain accurate procurement records, pricing data and supplier information within the CRM/order management system.
- Support stock and inventory control alongside the warehouse team, including goods-in queries and reconciliation.
- Build and maintain strong working relationships with key distributors and manufacturer account managers.
- Identify opportunities to improve procurement processes, reduce cost and shorten lead times.
Essential Skills & Experience
- Proven experience in a procurement, purchasing or buying role, ideally within IT, technology, electronics or a related distribution/reseller environment.
- Strong attention to detail and accuracy when handling part numbers, pricing and order data.
- Confident negotiator, comfortable dealing with distributors and vendor account managers.
- Well organised, able to manage a high volume of orders and competing priorities under pressure.
- Good numeracy and commercial awareness, with an eye on cost, margin and lead times.
- Competent with CRM/order management systems and Microsoft Excel/Office.
- Clear written and verbal communicator who works well across sales, purchasing and finance.
Desirable
- Knowledge of IT networking, cyber security or infrastructure products and vendors (HPE Aruba, Juniper, Fortinet, Ruckus, SonicWall, Splicecom).
- Familiarity with distributors such as Westcoast, Exertis, TD SYNNEX or Nuvias/Infinigate.
- Understanding of manufacturer deal registration and special bid processes.
- Awareness of UK public sector procurement frameworks.
