Completions Officer
We require a Completions Officer based in our Whitstable office. This role covers 08.30 – 17.00, Monday to Friday and is inclusive of a one-hour lunch break.
This is an administration-based role involving progressing transactions from the point of exchange of contracts to completion. You will therefore deal directly with clients, Housing Associations and their solicitors, mortgage lenders and brokers, the Land Registry and the Inland Revenue on the telephone and by email and post. You will provide high levels of customer service and meet deadlines and expiry dates. You will be supported in this role at all times by the fee earners who maintain overall responsibility for their files and also by other members of the Completions Team.
Key Duties of the Role:
- Completing the Exchange paperwork such as sending certificate of titles (COTs) and Land Registry searches;
- Ensuring all documentation is on file in readiness for completion i.e. TR1;
- Preparing and sending the completion statements;
- Preparing the Accounts paperwork for transfer/receipt of monies;
- Dealing with completion including potential delayed completions;
- Preparing the post-completion letters such as serving Notices and submitting stamp duty land tax (SDLT);
- Updating checklists and charts for internal and external use.
Requirements for the Role:
- Ability to prioritise your workload and stay calm under pressure;
- Ability to communicate effectively with all levels of people either face to face, by telephone and via email;
- Use IT systems efficiently;
- Produce accurate work and have a keen eye for detail;
- Have a willingness to learn and develop expertise knowledge is essential as the legal industry is constantly evolving. In a busy office a polite and professional approach is a must;
- Good verbal and written communication skills;
- Minimum of 5 GCSEs A – C/9-4 or equivalent is essential including Maths and English;
- Previous legal admin experience, preferably in conveyancing would be advantageous for this role. Full on the job training will be given.
