Are you passionate about live events and delivering great customer service?
IPS is looking for a Live Events Hire Coordinator to join our growing team in Bletchley.
This hands-on role is key to ensuring our live event hire operations run smoothly. You’ll work closely with our Trade Hire Manager to handle client enquiries efficiently, accurately, and professionally — helping us maximise use of our extensive hire inventory.
You’ll support all areas of event production, including staging, lighting, rigging, video, and sound, gaining full end-to-end experience across the entire hire process.
Key Responsibilities
- Manage and coordinate client hire enquiries from start to finish
- Select, price, and prepare equipment lists for trade dry hire
- Liaise with the Transport Manager to arrange deliveries and collections
- Build and maintain strong relationships with clients and suppliers
- Represent IPS professionally at meetings, exhibitions, and events
- Resolve equipment shortages and damages in line with company policy
- Maintain accurate customer and equipment records
- Verify customer insurance documentation and ensure compliance
- Support stock checks, asset management, and data accuracy
- Contribute to business development through client visits and marketing activities
- Update product information and images on the company website
About You
We’re looking for someone who is organised, technically minded, and customer-focused — with a can-do attitude and strong attention to detail.
Essential skills and qualities:
- Knowledge or keen interest in live events, music, or production
- Awareness of staging, lighting, and technical equipment
- Excellent written and verbal communication skills
- Confident and professional phone manner
- Good IT skills (Microsoft 365, SharePoint, Excel, Forms)
- Strong organisation and time management skills
- Ability to work under pressure and to deadlines
- Full UK driving licence (some client visits required)
- Reasonable physical fitness for occasional equipment handling
Desirable:
- Experience using HireTrack rental software
- Knowledge of SQL databases
