Job Purpose:
As a Solutions Consultant, you will provide high-quality advice to our clients on all Information Governance services, including, documents and records management, information lifecycle, knowledge management and the design and delivery of technical solutions, including software customisation and deployment and data migration.
This will include providing technical and process advice, troubleshooting and training for the client and end users and operating as an Information Governance subject matter expert.
Key Responsibilities:
Client Consulting & Delivery
- Understand client objectives, challenges and risks, then translate these into clear actions
- Support advisory, implementation, assurance and remediation projects
- Produce high-quality deliverables including reports, assessments, policies, frameworks, registers, roadmaps, training materials and project documentation
- Provide pragmatic advice that balances regulatory expectations, good practice, commercial reality and client maturity
- Help clients move from problem identification to practical implementation
- Identify barriers, risks or delays early and work with clients and internal colleagues to resolve them
- Ensure work is delivered in line with agreed scope, timelines and commercial terms
Design and Build Solutions
- Lead on the design and delivery of technical solution deployment to clients (this includes software whereby the solution is customised based on the client needs and SaaS solutions with little customisation, however the process the client uses will be unique.)
- Lead on requirements gathering and documentation to establish the ideal solution end state
- Lead testing through design and deployment ensuring the solution is fit for purpose and aligned to gathered requirements
- Installing and configuring the solution to the client environment
Project Delivery
- Own the Project Management of solution deployment to a client, ensuring that key stakeholders at the client and internally at Oyster are onboarded, aligned and clear on delivery timelines.
- Maintain clear and accessible project implementation / update documentation, following Oyster IMS’ framework and contributing to project documentation for the projects you own, e.g. status updates and RAID logs
- Own the deployment, identifying solutions and escalating where required
- Balance the delivery of client expectations with Oyster IMS’ commercial terms
- Ensure client teams are engaged and delivering in line with the project delivery plan
Relationship Management
- Build and foster a strong and trusted working relationship with your clients, as a subject matter expert
- Provide pragmatic and realistic support to clients with a solution focussed mindset
- Identify and highlight where barriers or delays may impact delivery and proactively work with the client and internal Oyster IMS colleagues to resolve
Technical Troubleshooting
- Operating as the SME for Information Governance and our products, provide technical advice and troubleshooting, drawing on your knowledge and Oyster IMS’ deep expertise in deploying solutions to multiple clients over a number of years
- Taking a methodical and systematic approach to troubleshooting. Drawing on personal and Oyster IMS’ experience and range of resources to resolve issues
Documentation & Training
- Create and maintain solution documentation, project delivery and best practice knowledge bank documentation
- Create training materials, e.g. manuals, videos and handouts for solutions and clients
- Deliver training to clients and end users on our solutions ensuring a smooth knowledge transfer and handover
- Coach and support other members of the Information Governance team acting as the subject matter expert for both solutions deployment and our partner solutions
- Ensure knowledge and best practise is shared and retained within the wider Oyster IMS team
- Deliver a complete and robst handover to the Oyster IMS Support team to ensure clarity and ongoing client support
Commercial Consultancy
- Ensure robust and accurate delivery estimates for solutions in line with requirements
- Maximise efficiency of design and implementation aligned to delivery estimates and utilisation of team to maximise service and commerciality for Oyster IMS
- Continuously identify efficiency in design and solution delivery to maximise profitability for Oyster IMS without compromising on client satisfaction
Who we’re looking for:
Essential
- Educated to a degree level with at least six years experience gained in a technology or services environment, delivering Information Governance or Document Management solutions in either finance, insurance, legal, pharma or retail industries
- Consultant mindset, the ability to balance subject matter expertise with client relationships and commercial outcome
- Demonstrable experience if operating in a client focussed role, leading on project scoping and delivery
- Operational experience and knowledge across Records Management, e.g. Information Governance, Information Security or Data Privacy
- Experience of working with Document / Records Management Solutions / Content Lifecycle and Workflow
- Experience of project planning and workload management with cross functional teams
- Strong experience networking with senior internal and external people including at MD / C-Suite level
- Possessing well-developed problem solving and critical thinking skills
- A strong working knowledge of general IT infrastructure.
- Experience in managing and delivering to customer expectations.
- Excellent presentation and facilitation skills with senior stakeholders
- Strong knowledge and practical experience with Microsoft Windows Server and AD, Azure/Entra, Office 365, Microsoft SQL Server and Integration Services, Application Integration and/or development using SQL/.Net/APIs
- Excellent verbal and written communication skills, including the ability to communicate effectively by telephone and in person with a wide range of people.
- Ability to efficiently understand client organisations and their business model and to translate relevant processes into solid Data Protection solutions.
- Able to travel around the UK, Europe, and the rest of the World, as the work may require client site visits
- Fluent in Information Management topics such as Retention and Disposal, Categorisation and tagging, document lifecycle best practise
Desirable
- Experience / certifications in iManage / Intapp / OpenText / Microsoft 365 software services
- Experience working in smaller organisations (less than 50 headcount)
- Mentoring, leadership, and team-coaching skills especially without line management responsibility
- Ability to develop and deliver a business case
- ITIL or similar certification
- Experienced project management e.g. Waterfall/PRINCE2
