Job Purpose
Working within our Reception and Administration team, you will be the first point of contact for our patients and visitors, undertaking comprehensive reception duties alongside general administrative support. You will support with bookings and scheduling for our visiting consultants, ensuring patients have a seamless experience from initial enquiry through to admission. You will work flexibly within the administrative support team to meet service and patient needs. Key Responsibilities
Reception
● Welcome all visitors in a courteous and professional manner
● Respond efficiently to general visitor queries received in person, over the phone or via email
● Answer and transfer calls, and take messages
● Receive and return deliveries
● Sign in visitors in accordance with Hospital procedures, verifying credentials and undertaking basic
security checks
● Distribute unit keys and programme door fobs
● Maintain the presentation of the reception area, ensuring it remains tidy at all times
Clinical Scheduling
● Manage visiting consultants' bookings, appointments and consumables, liaising with Theatre
teams and medical secretaries
● Act as a key point of contact for visiting consultants and clinical teams
● Ensure accurate and timely entry of patient booking information into hospital systems
● Coordinate pre-admission processes and documentation for patients
● Handle patient and consultant scheduling enquiries professionally and promptly
● Assist with invoicing for visiting consultants
Administrative
● Receive and respond to queries and provide information to patients, patients' relatives and staff
members
● Manage the administration calendar
● Create and maintain accurate records, including using MS Excel and other hospital systems
● General administrative duties such as managing post, photocopying, scanning and printing ● Provide general administrative assistance as required to the wider administration team
General
● Maintain complete confidentiality regarding patient issues and records

Person Specification — Essential
● Previous experience as a receptionist or in a similar customer-facing role
● Experience undertaking administrative tasks with good IT skills, proficient in MS Office including Excel
● Excellent standard of written and spoken English
● Interpersonal skills, demonstrating an approachable and compassionate response to patients
● A high standard of personal presentation, ensuring a positive and professional welcome for patients and visitors
● Ability to clearly and effectively communicate over the phone and in person with a wide range of people
● Extremely organised, able to manage your own time effectively and prioritise work as appropriate
● Knowledge of, and commitment to, patient confidentiality and health and safety as appropriate to your role
● Able to demonstrate initiative and solve problems commensurate with the level of your role
● Reliable, with good timekeeping
● Willingness to undertake appropriate training
● Able to meet the physical demands of the role, and the infection control and uniform policies of the Hospital
● Able to work a flexible shift pattern, including evenings current shift pattern will be 6.30am-
2.30pm the 11am-7pm Monday -Thursday on a two-weekly rota. 8am-4pm Fridays.

Person Specification — Desirable
● Previous experience working within a healthcare setting
● Previous experience in a clinical administration or patient scheduling role
● Familiarity with medical terminology, particularly cosmetic/plastic surgery
