Personal Assistant to the Headteacher
Salary: £24,128 per annum (£31,500 FTE)
Contract: Permanent, term time plus 3 weeks
Hours: Monday to Friday, 8.00am–4.00pm

Job Purpose
To provide a professional, highly organised and confidential Personal Assistant service to the Headteacher, ensuring the smooth and efficient running of the Headteacher’s office.
The successful candidate will provide proactive administrative and organisational support, manage a busy diary and correspondence, coordinate meetings and events, and act as an effective point of contact between the Headteacher, staff, pupils, parents, governors and external organisations.
The role requires a high level of discretion, professionalism, initiative and attention to detail, together with the ability to manage competing priorities in a busy school environment.
Key Responsibilities
- Provide comprehensive administrative and PA support to the Headteacher.
- Manage the Headteacher’s diary, appointments, meetings and commitments.
- Monitor and manage emails, correspondence and telephone enquiries, ensuring matters are dealt with appropriately and promptly.
- Prepare letters, reports, presentations, agendas and other documentation as required.
- Arrange and coordinate meetings, including preparing papers, agendas and refreshments where appropriate.
- Attend meetings and take accurate minutes and action notes when required.
- Ensure actions arising from meetings are followed up and completed.
- Act as a professional and approachable first point of contact for the Headteacher.
- Liaise confidently with staff, pupils, parents, governors, visitors and external organisations.
- Handle sensitive and confidential information with complete discretion.
- Maintain accurate electronic and paper filing systems.
- Assist with the organisation of school events, visits and key appointments.
- Support the Headteacher with communications and school-wide administration.
- Provide administrative support to the Senior Leadership Team where required.
- Assist with the preparation of information and documentation for governors and leadership meetings.
- Support recruitment and other school administrative processes where required.
- Maintain a good understanding of school procedures, policies and safeguarding requirements.
- Undertake research and prepare information for the Headteacher as required.
- Respond positively and professionally to changing priorities and urgent requests.
- Carry out any other reasonable duties appropriate to the role.
Person Specification
Essential
- Previous experience in a PA, Executive Assistant, senior administration or similar role.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills.
- Excellent attention to detail.
- Ability to prioritise and manage a busy and varied workload.
- Ability to work independently and use initiative.
- Strong IT skills, particularly Microsoft Word, Outlook, Excel and PowerPoint.
- Ability to handle confidential and sensitive information with discretion.
- Professional, approachable and confident manner.
- Ability to communicate effectively with people at all levels.
- Calm and reliable when working under pressure.
- Strong problem-solving skills and a proactive approach.
Desirable
- Previous experience working within a school or education environment.
- Experience supporting a Headteacher, Principal, CEO or senior leadership team.
- Experience of working with governors or trustees.
- Knowledge of school systems and procedures.
- Experience of taking formal minutes.

We are looking for someone who is professional, approachable, discreet, proactive and exceptionally well organised. The successful candidate will be someone who can anticipate the needs of the Headteacher, manage competing priorities and build positive relationships across the school.
They will be trusted to deal with sensitive information and challenging situations appropriately, demonstrating sound judgement, diplomacy and a high level of integrity.
