About the Role
Hirst Welfare Centre is looking for a friendly, organised and community-minded Community Administration Officer to join our small and welcoming team.
Hirst Welfare Centre is operated by Ashington Joint Welfare Scheme, a local charity working to improve the health, wellbeing and quality of life of people in our community.
This is a varied role supporting the day-to-day running of the Centre. You will provide administrative support, oversee our room booking and facility system, assist with financial administration and help staff, volunteers, community groups and customers with everyday queries.
You will also provide support with our digital systems and help us to keep our records, processes and information organised and up to date.
Most importantly, we are looking for someone who is approachable, reliable and genuinely enjoys helping people.
What You Will Do
Your role will include:
- Providing general administrative support to the Centre Manager and wider team.
- Overseeing the Centre's room booking and facility system.
- Liaising with customers, community groups and partner organisations regarding bookings.
- Responding to telephone, email and face-to-face enquiries.
- Preparing documents, reports, letters and meeting information.
- Maintaining accurate electronic and paper records.
- Supporting routine financial administration, including invoices, petty cash and record keeping.
- Processing staff timesheets and maintaining volunteer records.
- Supporting grant reporting, monitoring and data collection.
- Providing basic support to staff and volunteers with Google Workspace, email and other digital systems.
- Supporting community activities and events.
- Helping to ensure the Centre remains welcoming, organised, safe and inclusive.
- Identifying ways we can improve our systems and make things work more efficiently.
About You
We are looking for someone who is:
- Friendly, approachable and welcoming.
- Empathetic and comfortable working with people from a wide range of backgrounds.
- Well organised with excellent attention to detail.
- Confident using computers and a variety of digital systems.
- A good communicator, both verbally and in writing.
- Able to manage their own workload and prioritise tasks.
- Reliable, flexible and willing to support colleagues when needed.
- Committed to the aims and values of a community charity.
Previous experience in administration, customer service, a charity or community organisation would be helpful, but we are more interested in finding the right person who has the skills, attitude and commitment to make a difference.
Experience of booking systems, CRM systems, financial administration or providing basic IT support would also be an advantage.
