The Role
We are looking for an organised, proactive, and customer-focused Hire Desk Coordinator to join our growing team.
This is a pivotal role within the business, serving as the main point of contact between customers, engineers, suppliers, the sales team, and our warehouse operations. The successful candidate will play a key role in ensuring the smooth and efficient coordination of equipment hires, deliveries, collections, installations, service works, and breakdown support.
Working in a fast-paced environment, you will be responsible for managing multiple priorities while maintaining excellent attention to detail and delivering an outstanding level of customer service. Key Responsibilities
- Process and manage hire contracts, extensions, exchanges, and off-hires accurately and efficiently.
- Raise customer invoices and maintain accurate hire records using the company's hire management systems.
- Create and maintain fleet asset records and equipment information.
- Coordinate transport, deliveries, collections, installations, and de-installations to ensure seamless project delivery.
- Schedule and allocate engineers for installations, maintenance visits, service work, and equipment breakdowns.
- Maintain accurate and up-to-date operational data to support informed business decisions.
- Raise purchase orders, process supplier invoices, and assist with supplier account administration.
- Work closely with the warehouse team to ensure equipment availability and operational efficiency.
- Support the sales team with customer requirements and ongoing hire activities.
- Ensure all administration is completed accurately and in accordance with company procedures.
Skills, Knowledge & Experience
Essential
- Previous experience in an administrative or coordination role within a busy office environment.
- Excellent organisational skills with the ability to prioritise and manage multiple tasks effectively.
- Strong communication and interpersonal skills.
- High level of accuracy and attention to detail.
- Competent user of Microsoft Office applications, including Outlook, Excel, and Word.
- Ability to remain calm and professional when working under pressure.
- Strong problem-solving skills and a proactive approach to finding solutions.
- Ability to work independently and as part of a collaborative team.
- Positive attitude with a willingness to learn, develop, and take on new challenges.
Desirable
- Experience within the hire, rental, HVAC, or equipment hire sectors.
- Experience using hire management software such as OnRent, or similar platforms.
- Experience using accounting packages such as Xero.
- Understanding of transport planning, logistics, scheduling, or service coordination.
