About this Role
- Working hours: 9:30am–5:30pm, Monday to Friday, with a one-hour unpaid lunch break (35 hours per week)
- Location: Paddington (W2) or White City (W12), depending on business requirements
- Hybrid arrangement: Three days in the office and two days working from home
- Salary: £25,000–£28,000 per annum, depending on experience
- Contract: Permanent, full-time
Key Responsibilities
1. Project Coordination
- Coordinate calendars, meetings and appointments.
- Take meeting minutes and maintain clear action logs.
- Maintain project plans, deadlines and progress trackers.
- Coordinate communication and follow up with colleagues and external contacts on agreed actions.
- Help improve internal systems and administrative processes as the company grows.
2. Office Administration
- Maintain organised business records and prepare routine correspondence, reports and documents.
- Assist with the organisation of internal meetings and company activities.
- Manage office supplies and provide day-to-day administrative and operational support.
3. Research Support
- Conduct ad hoc research into suppliers, software and other practical business matters, presenting relevant findings in concise summaries.
What We Are Looking For
The role would suit someone at an early stage of their career who is proactive, personable and keen to develop within a growing business. Previous experience in administration, operations or a similar business support role is preferred.
The ideal candidate will be:
- Highly organised, dependable and attentive to detail.
- Able to manage multiple tasks, priorities and deadlines effectively.
- A clear and professional written and verbal communicator.
- Proactive in following up on actions and keeping work moving.
- Comfortable conducting practical research and summarising information clearly.
- Confident using the Apple iWork suite, Google Workspace and Xero, or willing to learn these tools quickly.
- Adaptable and willing to support different areas of a growing business.
- Able to work independently while knowing when to ask for guidance.
