HOURS: Monday 2 – 6.45pm
Tuesday 7.45am – 10.45am & 2pm – 6.45pm
Wednesday 2 – 6.45pm
Thursday 2 – 6.45pm
Friday 2 – 6.45pm
Plus Saturday rota 8.15 – 10.45am
Plus holiday / sickness cover
Rate of Pay £13.21 hour plus NHS pension

Job Summary
This role encompasses reception duties and administration tasks to support the smooth running of the Practice.
We are a small practice with approximately 4000 patients. This is a role working independently as front of house. The post holder is required to be flexible and able to cover for annual leave and sickness. Providing general assistance to the practice team and projecting a positive and friendly image to patients and other visitors, either in person or via the telephone.
The role involves face to face contact with our patients and their relatives as well as the efficient and confidential processing of all paperwork and telephone calls to the practice. The successful applicant will be expected to be presentable and neat in appearance, have a calm, friendly, courteous manner, good problem-solving and organisational skills are essential.
Job Responsibilities:
The receptionist is responsible for the smooth efficient running of the reception area.
General Reception duties
- Ensure a professional, friendly and polite reception service is provided to patients and any other visitors to the practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments via our Clinical system.
· To ensure all telephone calls are managed appropriately.
· To manage the flow of patients arriving at the reception desk, for appointments, prescriptions or queries.
- Maintaining and monitoring the practice appointments system.
- Enter and update patient information on to the computer as required.
- Ensure that all new patients are registered onto the computer system promptly and accurately following the registration protocol.
- Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
- Processing and distributing incoming mail, postal, email, other electronic forms of mail.
- Tidying waiting room after surgery, ensuring premises are kept tidy between visits from the cleaning staff, tidy and sort leaflets posters, notice boards.
General Admin Tasks
· Workflow, coding and filing documents, correspondence, results and reports
· Entering Treatment escalation plans on to the clinical system
· Checking reception scanning
· Summarising, checking summarised new patient notes
· Blood Pressure calculations and recordings
· Recalling patients for long term conditions and checking recall dates
· Invites for immunisations
· Reviewing and managing the appointment books
· C the Sign updates, checking and monitoring referral outcomes
· Patient case finding Ardens and Ardens Manager
· New Baby Registrations and 6 – 8 week checks
· Monitor and organise patient collection box
Premises
- Open up premises at the start of the day if first to arrive, de-activate alarm and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off, and the alarm activated.
Other
· Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team as required from time to time, including word/data processing, filing, photocopying and scanning, writing to patients as required.
- Cover for holidays and sickness will be part of the post.
- Participate in a Saturday morning Reception Rota 8.15am to 10.45am

Pay: £25,420.00-£39,506.69 per year
