We are looking for an exceptionally organised and detail-focused person to join our small team at Sundowner Holidays.
We create tailor-made holidays across Africa, Asia and Latin America, combining boutique hotels and luxury hideaways with memorable experiences. Behind every holiday is a lot of careful organisation – and that is where this role comes in.
Our Operations team works closely with our Holiday Designers once a holiday has been booked, making sure everything is accurately confirmed, organised and ready for our clients to travel.
This is primarily an Operations role, with an important element of bookkeeping and supplier payments. You don't need to be an accountant, but you do need to be comfortable with numbers, highly accurate and happy taking responsibility for financial administration alongside your operational work.
An interest in travel is a bonus, but it's not essential. We're much more interested in finding someone with the right skills, attitude and attention to detail.
The Role
You'll take ownership of the operational side of confirmed bookings from booking through to travel.
Day to day, this will include:
- Managing confirmed bookings through Safari Portal and keeping all booking information accurate and up to date
- Working closely with our Holiday Designers to ensure every element of a client's holiday is confirmed correctly and on time
- Managing deadlines for supplier confirmations, balance payments, flights and travel documentation
- Assisting with flight arrangements and ticketing deadlines
- Preparing and issuing client travel documentation
- Liaising with overseas suppliers and resolving booking queries
- Handling appropriate client queries between booking and travel
- Identifying potential problems and resolving them before they affect the client
Alongside Operations, you'll help manage the financial administration behind our bookings, including:
- Maintaining accurate bookkeeping records in QuickBooks
- Recording client invoices and supplier bills
- Matching client payments and monitoring outstanding balances
- Checking supplier invoices against bookings
- Managing overseas supplier payments
- Coordinating foreign currency payments
- Reconciling financial information and investigating discrepancies
Who We're Looking For
Above all, you will be extremely organised and exceptionally good with detail. You'll be someone who notices when something doesn't look right, follows things through and doesn't assume somebody else will deal with it.
You'll also need:
- Strong numerical accuracy and confidence working with financial information
- Excellent written and verbal communication
- The ability to manage multiple bookings, tasks and deadlines at once
- A proactive, practical approach to solving problems
- Confidence learning and working with different systems
- A calm and organised approach when something is urgent or doesn't go to plan
- A positive, flexible attitude and willingness to support a small team
Experience within travel or tour operations would be useful, as would bookkeeping or QuickBooks experience. However these are not a pre-requisite.
Working at Sundowner Holidays
We're a small, friendly and ambitious specialist tour operator based in central Shoreham-by-Sea.
We care enormously about the holidays we create and the service our clients receive. That means standards are high. There are lots of moving parts behind a tailor-made holiday and overseas travel doesn't always go to plan, so this role suits someone who enjoys being organised, taking responsibility and getting things sorted.
Hours: 09h00 to 17h30 Mon to Fri. Or 08h00 to 16h30. Or 10h00 to 18h30. There is flexibility. One Saturday every 6 weeks (with the following Friday as holiday).
Location: Modern office in central Shoreham-by-Sea, five minutes from rail and bus links
Annual leave: 25 days plus bank holidays
Out of hours: Participation in our shared out-of-hours phone rota for approximately six weeks of the year
