Job Overview
The Finance/HR Officer will be responsible for assisting with the production of budgeting and forecasting reports, monthly reports, and accounts. You will provide key business and management expertise to the Cardigan Centre budget holders, working closely with the General Manager to support the day-to-day running of our budgets, as well as developing financial systems to drive efficiency.
Administration is an integral part Cardigan centre operation, and you will provide guidance and support to managers and staff across the full range of administration work. In addition, the post holder will collate, prepare, and submit monthly payroll data and undertake a range of associated administrative tasks to ensure the Charity trustee’s and employees are supported with our objectives.
Responsibilities
· Assisting in the preparation of budgets and share financial data on risks
· Reconciling daily, monthly, and yearly transactions
· Preparing monthly, quarterly, and yearly balance sheets for our cash flow
· Inputting on QuickBooks purchases with codes, expenses, outstanding invoices, reconciliation and rectify any errors, journals and prepare reports on profit and loss.
· Resolve financial disputes raised by the customers, suppliers, late payments and HMRC
· Attend any Finance meetings for the Centre
· Supporting the General Manager for the annual audit for accounts for submission.
HR Administration
· Prepare payroll with all the administrative tasks associated with this.
· Recruitment (Job advertisement, dealing with job application organising job interviews) DBS administration and obtain references for the successful candidate.
· Prepare employment letters and contracts. Organize and maintain personnel records.
· Liaise with ACAS for advice related to employment, HR, and workplace laws
· Answer employees’ queries about HR-related issues
· Record keeping i.e., holiday cards, staff sickness and monitoring
To carry out other duties/tasks for finance and administration as and when required within the pay grade.
Planning
● To support departmental managers in developing and implementing the Cardigan Centre financial plan
● To improve and where required develop an operational administration plan for the Cardigan Centre
Working with Others
● To work effectively with people, developing productive relationships with colleagues’ suppliers and stakeholders.
● To advise trustees/managers where appropriate on risks, plans and good practices.
Working with the Chair on HR projects
Managing Resources
● To control spending in line with the budgets to maximise efficiency and effectiveness
● To utilise resources and make appropriate purchases in line with the budget and the limits of authority taking account of ethical and environmental considerations.
● To identify other sources of income and savings, which can be used to develop the Cardigan Centre.
Service Delivery
● Building on existing work, develop a coherent and compelling finance and HR processes.
● Ensure effective delivery of our budgets which includes monitoring performance of others to achieve targets and objectives, including externally funded projects.
● To monitor and oversee the provision of our finances utilising a range of methods, ensuring the nature and range of services continue to meet the demand of all our departments.
● To deliver a strong administration process which will support the Charity to prosper and develop further.
Compliance
● To ensure compliance with Cardigan Centre’s internal procedures and all external legal requirements to include Health & Safety and licensing regulations.
● To operate within Cardigan Centres ethical and environmental parameters for all purchasing decisions.
You may also be required to carry out duties that will benefit the charity with its operations and functions.
Pay: £28,611.39 per year
