Job Summary
Headon is a long-established property development company based in St Andrews. We are seeking an organised Accounts & Administration Assistant to join the team.
The role will be to support the existing team with accounts and administration duties. Responsibilities will include the following:
Responsibilities
- Process Goods Received Notes (GRNs) accurately and in a timely manner.
- Assist with the preparation of invoices, financial reports, and other documentation using Microsoft Office and Xero.
- Collate and process payments to suppliers and subcontractors, ensuring accuracy and adherence to payment schedules.
- Allocate and post costs to the appropriate cost codes.
- Support month-end and year-end accounting procedures, including reconciliations and reporting.
- Prepare and collate documentation for external accountants to assist with the completion of VAT returns.
- Perform bank reconciliations and accurately record daily banking transactions.
- Assist with the preparation and processing of weekly and monthly payroll.
- Manage diaries and email inboxes by organising, prioritising, and responding to correspondence where appropriate.
- Answer incoming telephone calls professionally, greet visitors, and provide administrative support as required.
- Carry out accurate data entry, ensuring financial and administrative records are maintained and kept up to date.
- Work collaboratively with colleagues to support efficient communication and the smooth running of office operations.
- Maintain a tidy, organised, and professional office environment.
- Undertake general accounts and administrative duties as required to support the Finance and Management teams.
Skills
- Strong organisational skills with the ability to prioritise tasks effectively.
- Sound knowledge of 3-way matching of purchase orders/goods received notes/invoices.
- Ability to understand chart of accounts and function thereof.
- Familiarity with Xero Accounting Software.
- Proficient in administrative duties with a keen attention to detail.
- Familiarity with Microsoft Office Programmes Including Word, Excel, PowerPoint & Teams.
- Excellent phone etiquette and interpersonal skills for effective communication.
- Basic clerical skills including typing proficiency and familiarity with general office equipment.
- Ability to take initiative and work independently as well as part of a team.
Hours: Monday to Friday 9am-5:30pm
