The Staight Practice is seeking an exceptional Personal Assistant and Patient Care Coordinator to provide dedicated support to Dr Anjella Balendra and the wider clinical team.
This is a pivotal role within a busy and growing private medical practice. We are looking for a highly organised, proactive and personable individual who thrives in a fast-paced environment and is passionate about delivering an outstanding patient experience.
The successful candidate will act as a trusted right-hand support to senior clinicians, helping to coordinate patient care, manage complex administrative workflows, and ensure the smooth day-to-day running of clinics.
This role requires someone who can anticipate needs, solve problems independently, communicate confidently with patients and healthcare professionals, and maintain absolute discretion when handling confidential information.
Key Responsibilities
Patient Care and Coordination
- Act as a primary point of contact for patients via telephone, email and in person.
- Deliver a professional, compassionate and highly personalised patient experience.
- Coordinate consultations, investigations, referrals, specialist appointments and follow-up care.
- Liaise with consultants, hospitals, laboratories, imaging providers, pharmacies and insurers.
- Monitor patient pathways to ensure timely completion of investigations and onward referrals.
- Assist patients with queries and support them throughout their healthcare journey.
Clinical and Administrative Support
- Manage complex and frequently changing clinician diaries.
- Act as a gatekeeper, prioritising urgent matters and protecting clinician time.
- Prepare referral letters, medical reports and patient correspondence under clinician direction.
- Produce accurate medical documentation and undertake medical transcription where required.
- Process prescriptions, referrals and investigation requests.
- Maintain accurate electronic patient records and filing systems.
- Monitor incoming correspondence and ensure appropriate action is taken.
Practice Operations
- Support billing, invoicing, insurance administration and payment reconciliation.
- Assist with maintaining CQC compliance and practice policies.
- Support service development projects and practice initiatives.
- Identify opportunities to improve systems, workflows and operational efficiency.
- Assist with the smooth running of daily clinics and administrative processes.
Essential Requirements
- Previous experience as a Medical PA, Medical Secretary, Patient Coordinator, Executive Assistant or similar healthcare administration role.
- Excellent written and verbal communication skills.
- Strong organisational skills and exceptional attention to detail.
- Ability to manage multiple competing priorities effectively.
- Excellent IT skills including Microsoft Office 365.
- Ability to work independently and use sound judgement.
- Professional, discreet and highly trustworthy.
- A genuine commitment to delivering excellent patient care.
Desirable Requirements
- AMSPAR qualification or equivalent medical secretarial qualification.
- Experience within private healthcare.
- Familiarity with Semble or other electronic patient record systems.
- Understanding of medical terminology.
- Experience coordinating referrals, investigations and specialist care pa2.i gnuggthways.
- Experience supporting senior clinicians.
