Project Coordinator
We are seeking a highly organised and proactive Project Coordinator to manage projects from Sales Handover through to Aftersales Handover.
You will ensure each project is delivered seamlessly and in line with agreed timescales, specifications and budgets, while maintaining strong client relationships throughout.
This is a key role within the business, acting as the central point of communication between clients and our internal departments.
Key Responsibilities
- Act as the primary point of contact for clients, building strong and professional relationships throughout the project lifecycle.
- Chair client meetings and communicate confidently by email, telephone and video call, ensuring expectations are managed and deadlines are met.
- Create, manage and maintain project programmes from contract award through to completion.
- Proactively coordinate internal departments, ensuring agreed processes are followed and critical project dates are achieved.
- Issue project notifications and arrange project-focused internal meetings with key stakeholders.
- Maintain and manage the Project Review Tracker.
- Chair weekly Project Review meetings with Managers and Directors to review live contracts, risks and outstanding issues.
- Liaise daily with Technical, Supply Chain and Production teams to monitor project progress.
- Process client-driven change requests before design freeze, escalating where necessary.
- Coordinate drawing and specification changes with the Technical and Design teams.
- Chair drawing review meetings to ensure designs are compliant, accurate and achievable.
- Issue approved specification changes to the Estimating team, ensuring quotations and specifications are updated.
- Prepare and issue Contract Variations, keeping the Accounts team informed of all financial changes.
- Liaise with the Dispatch Controller regarding programme changes, delays, storage requirements and waiting charges.
- Keep the Aftersales team informed of critical project information and escalate issues requiring site attendance.
Document Control and Reporting
- Prepare and issue Order Acceptance and Contract Variation documentation to clients.
- Maintain accurate records of current specifications and drawing revisions.
- Manage warranty documentation, including sign-off, logging, scanning and issuing documents to clients.
- Capture and compile cost information for supplier chargebacks, liaising with the Accounts team where required.
- Ensure all project documentation, actions and decisions are accurately recorded and communicated.
About You
The successful candidate will have:
- Previous experience in a Project Coordinator, Project Administrator or similar role.
- Strong organisational skills and the ability to manage multiple projects and priorities simultaneously.
- Excellent communication and client-facing skills.
- Confidence working cross-functionally with Technical, Production, Supply Chain and Finance teams.
- Strong attention to detail and experience of document control.
- A proactive, solution-focused approach.
- The ability to work effectively under pressure and meet challenging deadlines.
- Confidence chairing meetings, managing actions and holding stakeholders accountable.

Pay: £28,000.00-£32,000.00 per year
