Job Summary
We are looking for a highly organised and detail-driven Project Coordinator to support the UK Asset Improvement department. This is a pivotal coordination role sitting at the heart of project delivery, responsible for financial tracking, procurement administration, document control, and general project support across a portfolio of utility-scale solar farm upgrade and repowering projects.
The successful candidate will be a confident communicator with a sharp eye for detail and a proactive approach to keeping projects on track. You will work closely with Project Managers, the accounts team, and external contractors to ensure smooth financial and administrative operations across the department.
Responsibilities
Financial Administration:
- Raise and manage purchase orders in line with project budgets
- Prepare and issue project invoices as required
- Receive, log, and track all incoming contractor invoices
- Liaise with the accounts team to confirm payment authorisation and timelines
- Monitor and manage aged debt across the project portfolio
- Maintain accurate financial records and support audit requests as they arise
Document Control & Scheduling:
- Review and maintain Project Manager filing, ensuring documentation is current and correctly stored
- Update and maintain project schedules, flagging delays or risks to the relevant Project Manager
- Support the implementation and upkeep of department-wide document control standards
Hire & Resource Tracking:
- Track and manage all plant, equipment, and resource hires across active projects
- Ensure hire agreements are in order and off-hire confirmations are recorded promptly to avoid unnecessary costs
General Project Support:
- Provide ad hoc administrative support to Project Managers as required
- Assist in the preparation of project reports, meeting packs, and correspondence
- Act as a central coordination point between project delivery, accounts, and external stakeholders
Requirements:
- Demonstrable experience in a project coordination, financial administration, or similar role
- Strong financial literacy – comfortable working with budgets, invoices, purchase orders, and aged debt
- Exceptional attention to detail and accuracy in all tasks
- Highly organised, with the ability to manage multiple priorities simultaneously
- Proficient in Microsoft Excel and confident working with structured data
- Strong communication skills – able to liaise confidently with internal teams and external contractors
- A proactive, self-motivated approach with a willingness to take ownership of tasks
- Experience using Smartsheet for project or financial tracking (desirable)
- Prior experience in a project-based or construction/infrastructure environment (desirable)

Pay: £27,000.00-£29,000.00 per year
