A little about the role
As Practice Manager, you will play a key role in the setting up and progressive development of the administrative support services provided to Oncology Consultants at The London Clinic. The Practice Manager is responsible for the co-ordination of the pathway through and management of Oncology Consultants administrative needs, providing day to day operational support for the clinics. The post holder will be required to act as a flexible administrative resource actively supporting patients and consultants to provide a high level of service.
What you’ll be doing
- Act as the primary point of contact for patients, relatives, GPs, Consultants, clinical teams and other stakeholders, providing a professional and responsive service.
- Provide comprehensive operational and administrative support to Consultants, helping to organise and develop their practice and manage their workload effectively.
- Oversee the accurate and timely management of patient correspondence, referrals, appointments, investigations and related clinical administration, maintaining confidentiality and high data quality.
- Act as a key link between Consultants and internal departments, ensuring queries are resolved and processes, systems and policies are followed effectively.
- Oversee the day-to-day running of the practice, prioritising workloads and ensuring tasks and outstanding actions are completed within agreed timescales.
- Build and maintain effective relationships with internal teams and external service providers supporting the Consultant’s practice.
- Analyse practice data and produce reports to support service development, activity, growth and informed decision-making.
- Identify and implement improvements to processes, systems and patient pathways, contributing to service development, efficiency and an enhanced patient experience.
- Support the effective allocation of administrative responsibilities across the practice team and provide cover for colleagues as required.
What we’re looking for
Essential
- GCSE English or equivalent.
- Prior healthcare administration experience, ideally within a private practice or hospital setting.
- Strong PA/secretarial and practice administration experience in a fast-paced environment.
- Excellent organisational, communication and time management skills.
- Strong patient focus and commitment to delivering exceptional customer service.
- Experience managing a varied workload and working effectively with clinical and non-clinical stakeholders.
- Proficient in Microsoft Office, including Word, Excel and Outlook.
- Ability to work independently, use initiative and manage confidential and sensitive information.
- Strong problem-solving skills, with the ability to influence and implement service improvements.
Desirable
- Further education or relevant professional qualification.
- Experience of practice development, growth or service improvement.
- Experience of data collection, analysis and reporting.
- Experience of billing, invoicing and patient account management.
- Knowledge of medical terminology.
- Experience using oncology-specific systems, such as MOSAIQ.
