Robert Oulsnam and Company are based in Barnt Green, and we are seeking a Full Time Block Manager to oversee the running of our Block Management Department.
Job Overview
We are seeking a dedicated and proactive Block Manager to oversee the daily operations of our Block Management Department looking after around 27 developments with about 500 flats around Birmingham and the surrounding areas.
You will have a small team of an Assistant Block Manager and an Accounts Assistant to manage from day to day. You will be required to work Monday to Friday 9am to 5.30pm, which can be part hybrid if required, but you must also be available in evenings for meetings when necessary and emergency cover when required.
The ideal candidate will possess strong organisational skills and a customer-focused mindset. This role requires a blend of administrative expertise, effective communication, and the ability to manage multiple tasks efficiently.
Responsibilities
- Carry out Inspections of Properties to report on their condition
- Provide administrative support, including handling correspondence, scheduling meetings
- Demonstrate excellent phone etiquette when communicating with leaseholders, tenants, contractors, and others.
- Direct the Assistant Block Manager to coordinate the maintenance and repair requests, ensuring timely resolution of issues while maintaining communication with residents.
- Direct the Assistant Block Manager to conduct regular inspections of the property to ensure compliance with health and safety regulations.
- Foster positive relationships with residents and address any concerns or queries promptly.
- Prepare Service Charge and Budgets for all Properties
- Manage all financial aspects and oversee bank reconciliations and credit control
- Provide financial analysis where required and manage cashflow
- Responsible for Section 20 Consultation
- Provide Leasehold Packs and correspondence about leasehold property transfers
- Provide data to accountants for timely delivery of management and year end accounts
- Renew management agreements with clients
- Chair AGMs and variety of other client meetings.
- Ensure insurance policies and service contracts are renewed when required
Qualifications
- Previous block management is essential; experience in property management is an essential
- Strong data entry skills with attention to detail to maintain accurate records.
- Proven administrative experience demonstrating organisational skills and the ability to multitask effectively.
- Excellent phone etiquette and interpersonal skills for effective communication with residents and stakeholders.
- Knowledge of construction and maintenance of buildings
- Knowledge of all regulations effecting property including Fire Regulations
- A proactive approach to problem-solving and a commitment to providing outstanding customer service.
- Professional qualifications as a minimum - Associate Member of The Property Institute or similar is required
