Finance & Office Manager
Location: Astley, Manchester (M29 7JY)
Salary: £26,000 - £30,000 per annum (dependent on experience)
Job Type: Permanent | Full-time or Part-time (25-37.5 hours per week)
About the Role
We are looking for an experienced and organised Finance & Office Manager to oversee the day-to-day financial administration and office operations of our busy commercial property management and development business.
This is a varied role combining bookkeeping, payroll, office management, compliance, and administrative leadership. You will manage a small administration team while providing essential support to the Directors, Estimators and Contract Managers.
We offer flexibility around working hours and can be accommodated provided a minimum of 5 days per week is worked.

Key Responsibilities
Finance & Bookkeeping
- Manage day-to-day bookkeeping using Xero.
- Process supplier invoices and resolve invoice discrepancies.
- Maintain purchase ledger and ensure suppliers are paid on time.
- Process customer receipts and maintain accurate financial records.
- Complete bank reconciliations.
- Complete month-end procedures including journals and cost allocations.
- Prepare and submit quarterly VAT returns.
- Ensure compliance with HMRC, PAYE, VAT and statutory reporting deadlines.
Payroll
- Process weekly and monthly payroll using Xero.
- Calculate overtime, deductions and staff cost allocations.
- Manage workplace pension auto-enrolment and pension submissions.
- Ensure payroll records remain accurate and compliant.
Credit Control & Invoicing
- Produce customer invoices.
- Monitor outstanding accounts.
- Chase overdue payments professionally.
- Assist with cashflow management.
Office Management
- Oversee the smooth running of the office.
- Manage a small administration team.
- Maintain filing systems and company databases.
- Liaise with suppliers and negotiate competitive pricing.
- Proofread documents and company communications.
Administration & Business Support
- Support Directors and management with general administration.
- Maintain Microsoft Word, Excel and Access records.
- Produce meeting agendas, take minutes and distribute action notes.
- Maintain contract files and company records.
- Update client and supplier information.
Holiday Let Property Management
- Manage day-to-day holiday let operations
- Liaise with the holiday letting agent
- Respond to guest enquiries and resolve issues
- Coordinate cleaners and groundskeeper
- Manage utility accounts and service providers
- Oversee EV charger operation and maintenance
- Arrange property maintenance and repairs
- Monitor property-related costs and records
Onsite Health & Safety
- Coordinate onsite health and safety administration
- Maintain health and safety records and documentation
- Monitor compliance with health and safety procedures
- Arrange inspections, servicing and statutory compliance checks
- Support risk assessments and incident reporting
Insurance & Compliance
- Provide insurance documentation to clients.
- Assist with insurance renewals.
- Support statutory compliance across the business.
- Assist with ISO Quality and Environmental Management Systems (training provided).
Fleet & Asset Management
- Maintain service and MOT records for company vehicles and trailers.
- Coordinate servicing schedules.
- Manage company protective clothing and corporate uniform orders.
Skills & Experience
Essential
- Minimum 10 years' experience within a finance or accounts office.
- AAT Level 4 (minimum)
- Knowledge of using Xero for Accounting and Payroll. Be able to use NEST Pension for autoenrollment reporting.
- Excellent bookkeeping knowledge up to Trial Balance and be able to prepare accruals and prepayment journals into Xero in addition to payroll and VAT journals.
- Strong Microsoft Office skills, particularly Excel and Word.
- High level of accuracy and attention to detail.
- Excellent organisational and communication skills.
- Ability to prioritise workloads and meet deadlines.
- Full UK Clean Driving Licence.
- Right to work in the UK.
Working Hours
- 25-37.5 hours per week.
- Monday-Friday.
