Forever Spaces is an interiors company specialising in space creation within kitchens, bedrooms and bathrooms. We design supply and install kitchens, bedrooms and bathrooms, with our own in-house team handling every project from design through to final fit. We work across East Lothian, Edinburgh and the Scottish Borders.
ROLE PURPOSE
We're looking for a highly organised, high-energy Project Coordinator/Manager to take ownership of our projects from sales handover through to completion. You will be the connection between our customers, our installation team, and the numbers behind each job — keeping everyone informed, everything on track, and every project profitable. This is a hands-on role for someone who thrives on structure, communicates brilliantly with people at every level, and is always looking for a better way to do things.
KEY RESPONSIBILITIES
Customer Communication – we want to be known for having the best communication
- Act as the main point of contact for customers once a project is sold, keeping communication frequent and clear
- Brief customers on what to expect from the process, keep them updated at each stage of their project, and confirm completion and handover
- Handle questions and concerns promptly, ensuring every customer feels informed and looked after from start to finish
People & Team Management
- Coordinate schedules and workload for our fitters and installation team, ensuring the right people are in the right place at the right time
- Communicate clearly with fitters and tradespeople day-to-day, resolving issues quickly and keeping projects moving
- Monitor progress and track progress of jobs
- Build strong working relationships across the team, setting a high-energy, can-do standard
- Keep people and operations accountable through process and systems
Financial & Project Accountability
- Monitor the numbers and profitability of live projects, flagging and addressing any variances early
- Perform invoicing and maintain accurate financial records for each project
- Account for project changes or additions and communicate to customer
- Hold projects to account against budget, timeline and quality expectations
Ordering and Sourcing
- Ordering from suppliers and checking fitting instructions and specifications to make correct orders first time
- Marking the inventory with project details.
- Track stock, remedials and returns
- Organise snagging and remedials as appropriate
Continuous Improvement
- Constantly look for ways to improve projects and sales, asking questions rather than assuming things can't change
- Be proactive in spotting problems before they happen and suggesting practical solutions
- Help build better processes and systems as the business grows
WHO WE'RE LOOKING FOR
- Outstanding communication skills, equally comfortable with customers and tradespeople
- Proven experience organising projects, people or schedules (interiors, construction or a similar trade background is a plus, but not essential)
- Comfortable working with numbers — budgets, invoicing and profitability
- High energy, organised, and calm under pressure when juggling multiple live projects
- A naturally curious, proactive mindset — always asking 'how can we do this better?'

Pay: £29,420.00-£46,695.36 per year
