Job Description – Duty Manager
Purpose of the Role
The Duty Manager role exists to ensure the safe, clean, welcoming and well-managed delivery of evening and weekend bookings and events at the Greyfriars Charteris Centre.
During evenings and weekends, the Duty Manager is the on-site operational lead, responsible for the smooth running of events, the safety and security of the building, and maintaining high standards of cleanliness and presentation throughout the Centre.
When not directly supporting hirers or managing events, the Duty Manager is expected to proactively undertake cleaning, housekeeping, stock monitoring and basic maintenance tasks, ensuring the Centre is left clean, safe and fully ready for the next day’s use.
This is a hands-on role combining event support, customer service, building oversight and cleaning, typical of a hospitality-style Duty Manager position in a busy venue.

Key Responsibilities1. Event & Building Readiness
- Prepare rooms and spaces for events, including heating, lighting, furniture layout and access checks
- Carry out pre-event inspections to ensure spaces are clean, tidy and safe
- Ensure fire exits are clear, accessible and correctly managed
- Support hirers with set-up, practical queries and building access during events
2. Customer Service & Front-of-House
- Act as the primary point of contact for hirers, performers, guests and contractors during shifts
- Provide a friendly, professional and visible presence throughout events
- Resolve routine issues independently and escalate more serious matters when required
- Brief users on building procedures, Health & Safety and emergency arrangements
3. Cleaning & Housekeeping (Core Duty)
- When not actively supporting events, cleaning and housekeeping must be treated as a priority responsibility
- Clean halls, meeting rooms, kitchens, toilets and circulation spaces during and after bookings
- Reset rooms following events to agreed standards
- Dispose of waste and recycling appropriately
- Maintain cleaning standards throughout shifts, not just at close-down
4. Stock Monitoring & Supplies
- Monitor cleaning supplies, consumables and basic venue stock during shifts
- Report shortages or low stock levels promptly to the admin or management team
- Ensure cleaning equipment and materials are used safely and stored correctly
5. Health, Safety & Security
- Take responsibility for Health & Safety compliance during shifts
- Monitor the safety and well-being of all users and the building
- Respond appropriately to emergencies, including fire, medical or security incidents
- Record and report incidents, accidents and near misses in line with procedures
6. Building Security & Close-Down
- Secure the building at the end of events when last on site
- Ensure heating, lighting, alarms and access points are managed correctly
- Leave the building clean, secure and ready for the next day’s use
7. Communication, Reporting & Standards
- Provide clear handovers and briefings to the Centre Manager following shifts
- Report maintenance issues, damage or faults promptly
- Follow agreed reporting, documentation and incident procedures
- Support consistent standards across all out-of-hours operations
8. Other Duties
- Brief volunteers or contractors on-site as required
- Undertake basic maintenance tasks during quieter periods where appropriate
- Carry out any other reasonable duties related to the safe, clean and effective operation of the Centre, as directed by Centre Management
Training & Support
Training will be provided and may include:
- Centre induction (building layout, fire alarms, security systems)
- Health & Safety and Fire Safety training
- First Aid training (where required)
- Duty Manager briefings and refresher sessions
Person Specification
Essential
- Willingness to carry out regular, hands-on cleaning and housekeeping duties
- Reliable, responsible and professional approach
- Strong customer service and communication skills
- Ability to work independently and take ownership during shifts
- Awareness of Health & Safety in a public or shared building
- Calm, practical and proactive in busy or unexpected situations
Desirable
- Previous experience in cleaning, venues, hospitality or events
- Experience working evenings and weekends
- First Aid or Fire Warden training
- Interest in community, arts or cultural activity
Pay: £14.20 per hour
