As we continue to expand, we're looking for an outstanding Patient Care Coordinator to join our Ballymena clinic.
This isn't a typical reception role.
We're looking for someone with compassion, emotional intelligence, excellent common sense and the confidence to think independently. Someone who enjoys helping people, takes pride in their work and understands that every interaction with a patient matters.
You'll often be the first and last person our patients meet. Whether they're anxious about a scan, receiving difficult news or simply looking for reassurance, you'll play a key role in making every patient feel welcomed, cared for and supported.
The Role
As our Patient Care Coordinator, you'll be responsible for creating an outstanding patient experience from the first phone call through to the patient's visit and any follow-up communication.
You'll work closely with our clinicians and management team to ensure clinics run efficiently while maintaining the warm, compassionate environment that Highway Health is known for.
No two days are the same, so we're looking for someone who enjoys a busy environment, can prioritise effectively and remains calm under pressure.
Key Responsibilities
- Welcome patients into the clinic, creating a friendly, professional and reassuring first impression.
- Manage telephone, email and online enquiries.
- Book and manage appointments across multiple clinicians and services.
- Explain our services clearly and confidently, helping patients choose the most appropriate appointment for their needs.
- Process payments and maintain accurate patient records.
- Support clinicians throughout busy clinics to ensure appointments run smoothly.
- Provide reassurance and emotional support to patients who may be feeling anxious or vulnerable.
- Chaperone patients during appointments where appropriate, ensuring they feel comfortable, respected and supported throughout their visit.
- Respond to patient queries with professionalism, empathy and confidence.
- Maintain confidentiality and handle sensitive information in accordance with GDPR.
- Ensure reception and waiting areas remain clean, welcoming and professional.
- Identify opportunities to improve the patient experience and contribute ideas to improve clinic efficiency.
- Carry out general administrative duties to support the day-to-day running of the clinic.

This position would not suit someone who:
- Waits to be told what to do.
- Struggles to manage multiple priorities.
- Doesn't enjoy working with people.
- Sees reception as "just answering phones."
- Lacks attention to detail or takes shortcuts.
- Is uncomfortable supporting patients who may be anxious or emotional.
- Doesn't enjoy a busy day
