Conveyancing Client Co-ordinator
About the Role
Join an award-winning, forward-thinking law firm with ambitious growth plans and a thriving residential conveyancing team. We are looking for an organised, proactive and customer-focused administrator to join our busy Residential Conveyancing team.
This is a key role within the department, acting as the first point of contact for new client enquiries and ensuring a seamless onboarding experience from initial enquiry through to file opening. You will play an important part in supporting the growth of the team by managing quotations, opening new matters and maintaining excellent client care standards throughout the onboarding process.
The successful candidate will be highly organised, confident communicating with clients and able to manage multiple priorities in a fast-paced legal environment.
Key Responsibilities
As a Conveyancing Client Co-ordinator, you will:
- Act as the primary point of contact for new enquiries within the Residential Conveyancing team.
- Prepare and issue conveyancing quotations using Perfect Portal.
- Follow up enquiries and maintain regular contact with prospective clients.
- Open all new files for the team and accurately set up matters on the firm's case management system.
- Gather and record key information relating to transactions, including referral sources, transaction types and property values.
- Generate and issue client care documentation and correspondence.
- Ensure the accuracy and completeness of all onboarding and file opening documentation.
- Maintain accurate records and data throughout the client onboarding process.
- Provide administrative support to fee earners where capacity allows.
- Offer guidance and support to colleagues when required.
- Maintain the highest standards of confidentiality, professionalism and client care.
- Undertake training and actively contribute to your own professional development.
About You
We are looking for someone who thrives in a client-focused environment and enjoys building positive relationships while maintaining exceptional attention to detail.
You will have:
- Strong organisational skills and the ability to prioritise a busy workload.
- Previous experience in an administration role
- Excellent communication skills, both written and verbal.
- Confidence when speaking with clients and other stakeholders by telephone, email and in person, in a professional, friendly and approachable manner.
- Strong IT skills, including Microsoft Word, Outlook and Excel.
- Excellent accuracy and attention to detail.
Previous experience within a conveyancing, legal administration, legal secretarial, client care or property-related environment would be advantageous, although full training will be provided for the right candidate. Experience working with case management systems and digital workflows is advantageous but not required.

The hours for this role are 9-5 on Monday to Friday, although consideration will be given to applicants desiring 4 days per week.
