The Opportunity
We have an exciting opportunity for a Team Coordinator to support our Property Science and Industry portfolio in our North Geography, based in our Edinburgh office. The Team Coordinator plays a key role in supporting the smooth running of the team, providing day-to-day coordination and administrative support across both project and operational activity.
Prepare clear, high-quality documents and presentations in line with the Arup brand, including proofreading and editing for consistency and clarity, and drafting presentation materials using Microsoft Office tools Support work winning activities. Provide project and team support, including some level of diary management to Senior Leaders Coordinate team administration (e.g., holidays/absences and wellbeing touchpoints) and provide cover for colleagues during periods of leave Support new starters and leavers, coordinating induction activities to ensure a smooth onboarding experience. Organise team meetings and events, including diaries, meeting rooms, AV requirements and refreshments. Support appraisal administration and other people-process administration as required book travel and accommodation and support expense/booking processes, cover other Business Operations team members if/when appropriate use relevant in-house systems promote best practice within Business Operations.

Proven coordination/administration experience, ideally in a professional services or project environment

Able to take ownership of tasks and see them through to completion, using initiative and sound judgement

Strong written communication skills (e.g., minute-taking, drafting emails, producing clear documents)

High attention to detail and pride in producing accurate, well-formatted outputs

Excellent organisation and time management, with the ability to prioritise and juggle competing deadlines

Professional, approachable and comfortable liaising with stakeholders at all levels

Discreet and trustworthy when handling sensitive or confidential information

Confident using Microsoft Office (especially Outlook and Excel, Word); strong experience with Teams, CRM/reporting tools, and learning platforms

Desirable: Knowledge of CRM systems

Desirable: Level 4 NVQ (or equivalent) secretarial/administrative qualification
