PURPOSE OF THE ROLE:
The HR Manager will oversee all aspects of the Human Resources function at The Wimpole Clinic Ltd.
This role is responsible for driving the people strategy, managing employee relations, overseeing end-to-end recruitment, ensuring full CQC compliance across staff records, and supporting leadership in building a high-performance, patient-focused culture.
The successful postholder will be experienced in workforce planning is highly desirable. In this role, you will contribute to the overarching HR strategy, helping the leadership team anticipate future operational challenges and build more realistic manpower cost forecasts.
Working in a small team the post holder will have responsibility of managing a HR Assistant.

PRINCIPAL DUTIES:
Responsibilities:
Employee Relations & Governance:
- Act as the main point of contact for all HR inquiries from staff and management
- Provide support and guidance to managers on formal employee relations processes, including grievances, disciplinaries, capability reviews
- Notify line managers of upcoming probationary review dates and provide them with the required documentation
- Ensure all company policies, procedures, and employee handbooks are up to date and aligned with current UK employment law
- Manage sickness absence, maternity/paternity requests, and occupational health referrals
Compliance & CQC Readiness:
- Maintain meticulous employee records to meet Care Quality Commission (CQC) regulations and UK GDPR standards
- Ensure all required pre-employment checks are completed and maintained (DBS checks, proof of Right to Work, references, and professional registration verifications such as GMC/NMC)
- Track and ensure compliance for mandatory clinical and non-clinical staff training
Recruitment & Onboarding:
- Manage end to end recruitment cycle, including shortlisting candidates, arranging and attending interviews, carrying out pre-recruitment checks and drafting contracts in line with the terms of the offer
- Draft job descriptions, issue offer letters, and draft employment contracts/letters of appointment
- Oversee structured onboarding, departmental inductions, and 3/6-month probationary reviews
- Conducting exit interviews and feedback to member of the Senior Leadership Team
Reward Support:
- Coordinate annual pay reviews and manage performance-based incentive programs alongside clinic directors
Performance Management & Staff Development:
- Facilitate the annual appraisal process and support department managers with performance benchmarking
- Work with leadership to identify training needs and career development pathways for employees
Reporting:
- Generate regular reports on HR metrics such as turnover, attendance, and training
PREFERRED KNOWLEDGE, TRAINING & EXPERIENCE:
- CIPD Level 5 qualified (CIPD Level 7 preferred) or equivalent experience
- 3–5+ years of generalist HR management experience
- Experience working in private healthcare, medical clinics, or CQC-regulated environments is highly advantageous
- Working knowledge of UK employment legislation and HR best practices
- Excellent IT skills, including advanced in Microsoft Excel and any other relevant packages
- Excellent verbal and written communication skills with a diplomatic, empathetic, and professional approach
- Meticulous approach to record-keeping, documentation drafting, and compliance
- High level of integrity when handling sensitive staff data and confidential legal
- Ability to balance strategic HR advice with day-to-day administrative execution in a fast-paced environment
- Maintaining confidentiality
- The ability to build and develop internal and external relationships, in order to work collaboratively to foster good relations
- Ability to work independently using your own initiative

Key Performance Indicators (KPIs):
- 100% CQC and regulatory compliance across all HR/personnel files
- Effective resolution of employee relations issues within target timelines
- High retention rates during the initial 6-month probationary period
- Timely completion of performance reviews and onboarding processes
EMERGENCY EVACUATION PROCEDURE:
- Follow established protocols in the event of emergencies, including notifying appropriate personnel and assisting patients as necessary
