Bath Mind are a local and independent mental health charity working across Bath & North East Somerset. While we are affiliated to the national Mind charity, we receive no direct funding from the national charity and work independently to develop our own services that suit local needs.
Established in 1998 by a group of people with lived experience of mental illness, we work tirelessly to provide support, information, advice, and activities for individuals in our community. We are in contact with thousands of individuals annually to support them with a greater understanding of their mental health, focusing both on preventing mental ill health and improving mental wellbeing.
About the Counselling Service
Bath Mind provides professional counselling services to adults, children and young people experiencing a range of emotional and mental health difficulties. We are committed to delivering accessible, high quality and person-centred support that helps people manage challenges early and prevents difficulties from escalating into crisis.
The Counselling and Community Coordinator plays a vital role in ensuring the smooth operation of the service by being the first point of contact for many referrals, providing high quality administrative support and helping reduce barriers to accessing mental health support.
This role is particularly suited to someone who is organised, compassionate, confident communicating with people experiencing emotional distress and committed to delivering excellent customer service.
Overall Responsibilities
· To provide comprehensive administrative and triage support to Bath Mind's counselling and services, ensuring referrals are processed efficiently and individuals are supported to access the most appropriate service for their needs.
· The postholder will act as a key point of contact for clients, professionals and counsellors and will contribute to the effective day-to-day running of the service through excellent administration, communication and record keeping.
· To provide flexible support to the counsellors and counselling lead with the everyday running of the service.
· To support client allocations and enable the smooth running of the counselling service.
· To triage community based Riviam and Text service referrals.
Key Responsibilities
Referral and Triage Administration
· Receive, process and manage referrals into counselling, Riviam and the text service.
· Make initial contact with individuals referred to the service.
· Undertake administrative triage processes using agreed frameworks and protocols.
· Gather information sensitively and accurately to support appropriate allocation and prioritisation.
· Identify where individuals may require alternative or additional support and signpost where appropriate.
· Escalate safeguarding concerns, risk issues or urgent matters in accordance with Bath Mind policies and procedures.
· Maintain waiting lists and support effective management of service capacity.
· Ensure all referral documentation is complete and accurately recorded.
Counselling Service Administration
· Provide administrative support where needed.
· Arrange counselling appointments, assessments and reviews.
· Manage diary systems and appointment scheduling.
· Prepare, maintain and update client records and electronic databases.
· Monitor attendance, cancellations and non-attendance.
· Support collection and recording of outcome measures and service monitoring information.
· Maintain confidential records in line with GDPR and data protection legislation.
· Process relevant correspondence and emails enquiries.
