We are seeking a highly organised and proactive Smart Repairs Coordinator to join our team. This is an excellent opportunity for an individual who thrives in a fast-paced environment, possesses exceptional administrative and coordination skills, and is confident in managing relationships with both residents and contractors.
The successful candidate will play a key role in coordinating repair works, monitoring contractor performance, maintaining accurate records, and ensuring that residents receive a professional and efficient service at all times.
Key Responsibilities
· Coordinate and oversee smart repair works from initial report through to completion.
· Schedule appointments and allocate repairs to contractors efficiently.
· Liaise regularly with residents, contractors, suppliers, and internal stakeholders to ensure effective communication and timely resolution of issues.
· Monitor repair progress and proactively follow up on outstanding works.
· Maintain accurate records, databases, and reports using Smartsheet, Onetrace, Microsoft Excel and other Microsoft Office applications.
· Track contractor performance, response times, and completion rates.
· Produce and analyse reports, spreadsheets, and performance data.
· Ensure all repair requests are logged, updated, and closed in accordance with company procedures.
· Handle resident enquiries and complaints professionally, escalating issues where necessary.
· Support management with administrative tasks, reporting requirements, and service improvements.
· Assist in identifying process efficiencies and implementing best practices.
Essential Skills and Experience
· Advanced proficiency in Microsoft Excel, including formulas, data analysis, reporting, filtering, pivot tables, and spreadsheet management.
· Strong working knowledge of Microsoft Office applications, including Word, Outlook, Teams, and PowerPoint.
· Excellent organisational and time-management skills, with the ability to prioritise a varied workload.
· Strong administrative and coordination experience.
· Excellent verbal and written communication skills.
· Confidence in liaising professionally with residents, contractors, and stakeholders at all levels.
· Ability to think quickly, solve problems, and make informed decisions under pressure.
· High level of accuracy and attention to detail.
· Ability to work independently and as part of a team.
· Strong customer service skills and a professional manner.
Desirable Skills and Experience
· Previous experience within repairs, maintenance, housing, facilities management, or property services.
· Knowledge of contractor management and service delivery monitoring.
