Job Purpose
The Receptionist / HR & Administration Executive is responsible for managing the front desk, providing administrative support, and assisting with day-to-day HR activities. The role requires excellent communication, organisational, and multitasking skills to ensure the smooth running of office operations while delivering a professional experience to visitors, employees, and external stakeholders.
Key ResponsibilitiesReception & Front Office
- Welcome visitors, clients, suppliers, and employees in a professional and courteous manner.
- Manage incoming telephone calls, emails, and general enquiries, directing them to the appropriate departments.
- Maintain the reception area to a high standard of cleanliness and professionalism.
- Manage meeting room bookings and prepare meeting rooms when required.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain visitor logs and ensure compliance with security procedures.
Human Resources Support
- Assist with employee onboarding and induction processes.
- Prepare employment documentation, including offer letters, contracts, and HR correspondence.
- Maintain accurate employee records and personnel files in accordance with GDPR requirements.
- Support recruitment activities, including scheduling interviews and communicating with candidates.
- Monitor employee attendance, annual leave, sickness records, and other HR records.
- Assist in organising employee training sessions and company events.
- Provide administrative support during performance reviews and probation processes.
- Assist with payroll administration by ensuring employee information is accurate and submitted on time.
Administration
- Order and maintain office stationery, kitchen supplies, and general office consumables.
- Liaise with suppliers, contractors, and service providers.
- Maintain company records, filing systems, and databases.
- Coordinate office maintenance and report facility issues.
- Support the management team with general administrative duties.
- Prepare reports, presentations, and spreadsheets as required.
- Ensure office policies and procedures are followed.
Compliance
- Ensure confidentiality of employee and company information.
- Support compliance with company policies, employment legislation, GDPR, and health & safety requirements.
- Maintain accurate documentation for audits and inspections.
Skills & Experience
- Previous experience in Reception, Administration, HR, or Office Administration.
- Excellent verbal and written communication skills.
- Strong organisational and time management skills.
- Ability to prioritise and manage multiple tasks simultaneously.
- High level of professionalism and confidentiality.
- Strong attention to detail.
- Excellent customer service skills.
- Ability to work independently and as part of a team.
Technical Skills
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience using HR systems is desirable.
- Familiarity with office equipment such as printers, scanners, and telephone systems.
Qualifications
- GCSEs (or equivalent), including English and Mathematics.
- CIPD Level 3 qualification (or working towards) is desirable but not essential.
- Previous experience in an HR and Administration role is advantageous.

Working Hours
Monday to Friday, 9:00 am – 6:00 pm (or as required by the business).
