We are seeking an experienced Mediation Practice & Operations Manager to oversee the day-to-day running of our practice, manage our administration team and ensure that client matters progress efficiently from initial enquiry through to conclusion.
Disputes Mediation provides mediation services across:
- Family mediation
- Civil and commercial mediation
- Workplace mediation
- Community mediation
We also provide publicly funded family mediation through Legal Aid.
The role
Reporting directly to the Director, you will take responsibility for the daily operation of the office and the administrative management of mediation cases.
Key responsibilities will include:
- Managing and supporting the administration team.
- Allocating work and monitoring performance, deadlines and workloads.
- Overseeing mediation cases from initial enquiry to closure.
- Ensuring clients receive a professional, sensitive and timely service.
- Coordinating appointments, mediator diaries and case correspondence.
- Monitoring outstanding documents, payments and actions.
- Overseeing Legal Aid assessments, applications and administrative requirements.
- Maintaining accurate and confidential client records.
- Handling initial client concerns and complaints.
- Ensuring internal procedures, data-protection requirements and professional standards are followed.
- Supporting the Director with reporting, recruitment, staff development and service improvements.
About you
You will be organised, confident and comfortable taking responsibility for both people and processes.
You should have:
- Experience managing an administration, casework or client-services team.
- Experience working in mediation, legal services, family law or another professional practice.
- Strong case-management and organisational skills.
- Experience dealing with sensitive or emotionally challenging client situations.
- Excellent written and verbal communication skills.
- Strong attention to detail and an understanding of confidentiality.
- Confidence addressing performance and operational issues.
- Good IT skills and experience using case-management or client-record systems.
Experience of Legal Aid Agency processes and publicly funded family mediation is highly desirable, although training can be provided to a strong candidate with relevant legal-services experience.
