As the company continues to grow, we are seeking a highly organised and proactive Project Coordinator / Assistant to Chief Engineer. This unique role combines project coordination responsibilities across multiple engineering systems with administrative and organisational support to the Chief Engineer, making it ideal for someone who thrives in a fast-paced technical environment.

Role Overview
The successful candidate will play a key role in ensuring engineering programmes remain organised, visible, and on schedule. They will be responsible for coordinating up to ten vehicle control accounts (major subsystems), maintaining project information, tracking risks and dependencies, and supporting effective communication across engineering teams. Alongside project responsibilities, the role will provide direct support to the Chief Engineer through diary management, meeting coordination, minute-taking, action tracking, and stakeholder engagement.
The position requires excellent organisational skills, attention to detail, confidence working with engineers and suppliers, and the ability to manage multiple priorities simultaneously.
Responsibilities will include:
Project Coordination
- Own and coordinate up to ten engineering control accounts (vehicle systems), ensuring project information remains accurate and up to date.
- Maintain project schedules and delivery milestones within JIRA, ensuring dates, progress updates, and dependencies are accurately represented.
- Work closely with engineering teams to ensure individuals understand their responsibilities, commitments, and deliverables.
- Monitor control account progress and escalate issues that may impact project schedules or deliverables.
- Ensure technical, schedule, and programme risks are identified, documented, and maintained within project tracking systems.
- Support the tracking and reporting of control account costs, budgets, and system mass properties.
- Identify and manage interdependencies between vehicle systems, ensuring impacts affecting one control account are communicated and captured across all affected accounts.
- Assist with project reviews, reporting, and preparation of programme status updates.
- Support configuration and change management processes where required.
- Facilitate communication between engineering disciplines to ensure alignment and timely decision-making.
Assistant to the Chief Engineer
- Manage and coordinate the Chief Engineer's calendar, ensuring availability is optimised and priorities are effectively managed.
- Organise internal engineering meetings, reviews, and workshops.
- Coordinate supplier and external stakeholder meetings, including scheduling, logistics, agendas, and follow-up actions.
- Attend meetings on behalf of the Chief Engineer where appropriate.
- Take accurate meeting minutes and distribute them promptly.
- Record and maintain key engineering decisions and decision logs.
- Track actions arising from meetings and proactively follow up with owners to ensure completion.
- Assist in preparing meeting packs, reports, presentations, and supporting documentation.
- Provide day-to-day administrative support to the Chief Engineer and wider engineering leadership team as required.
Qualifications and Experience:
Essential skills and experience:
- Strong organisational and administrative skills.
- Experience coordinating projects, work packages, or programmes within a technical environment.
- Experience using project management tools such as JIRA, Microsoft Project, or equivalent.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong attention to detail and ability to maintain accurate records.
- Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Confidence working with technical teams and communicating with engineers at all levels.
Desirable:
- Experience in systems engineering, programme management, or project controls.
- Familiarity with risk management processes.
- Understanding of cost, schedule, and mass tracking within engineering projects.
- Experience in defence, marine, aerospace, automotive, or other highly regulated industries.
- Knowledge of configuration management and change control processes.
Note: Due to the nature of work undertaken at SubSea Craft, the selected candidate must be capable of meeting the security requirements of the position, which would include as a minimum Existing right to live and work in the UK, Baseline Personnel Security Standard (BPSS), with Security Check likely for specific projects.*
