Overview
We're a small e-commerce business in Carlisle looking for an organised, capable person to run our day-to-day office and own our bookkeeping.
This is the role that keeps everything ticking — the books, the supplier admin, the paperwork, the project tracking — so the directors can focus on growing the business.
£30,000–£35,000 pro rata (£19,200–£22,400 for 24 hrs)
What you'd be doing
- Owning our day-to-day bookkeeping: processing purchase invoices, supplier payments, reconciliations, and working alongside our external accountant. Willing to grow into VAT returns and quarter-end work over time, with training and support available.
- Supplier admin: keeping records, comparison sheets, and product specifications organised; chasing confirmations and delivery dates.
- Container shipments and import paperwork — we'll show you the ropes, it's routine once you've done it a few times.
- Processing payments to overseas suppliers, including currency conversions.
- Flagging supplier issues, delays, or cost changes before they become problems.
- Light HR admin: holiday tracking, timesheets, employee records, keeping policies and renewals up to date.
- Keeping our task and project tracking organised so things don't get forgotten.
- Backup cover for our customer service admin when she's out.
You'd suit this role if
- You're organised by nature and comfortable holding multiple threads at once.
- You have bookkeeping experience — ideally with cloud accounting software (Sage, Xero, QuickBooks, or similar). We use Sage Business Cloud and will support you switching over if needed.
- Numbers don't faze you, and you take ownership of getting them right.
- You're confident with spreadsheets and learning new systems.
- You communicate clearly and aren't awkward about chasing people for answers.
- You'd rather have a varied, steady role in a small business than a narrow specialist role in a bigger one.
Practical details
- 24 hours per week, on-site in Carlisle (flexible on which days).
- £30,000–£35,000 pro rata depending on experience.
- Full-time hours may be available for the right person by extending into related areas — happy to discuss at interview.
- We're hiring across two complementary roles (this one and a Buying Assistant). If you have strengths across both areas, let us know — we'd consider one combined full-time role for the right person.
