Job Summary
To ensure the smooth and efficient day-to-day running of the office environment and provide high-quality administrative and operational support across the business. Minimum 20 hours per week, but with the option of up to 40 hours.
Responsibilities
- Manage reception duties, including answering incoming calls and handling client and supplier enquiries.
- Sort and manage incoming and outgoing mail and deliveries.
- Order stationery and office supplies, maintaining stock levels for office, kitchen, and bathroom facilities.
- Maintain the office environment and coordinate external suppliers for maintenance and repair works.
- Monitor and manage petty cash records.
- Raise purchase orders on behalf of the Managing Director.
- Provide administrative support to the Managing Director, including preparation of presentations, letters, emails, and other documentation.
- Arrange travel and accommodation for the Managing Director and technicians, including managing London Congestion Charge and ULEZ requirements.
- Provide administrative support to the Managing Director, Operations Director, and Event Manager.
- Maintain accurate database records and complete data entry tasks.
- Collate and submit overtime hours for warehouse staff.
- Support Peachy Productions’ marketing activities, including online and offline networking initiatives.
- Update the Peachy Productions website with new content and amendments.
- Assist in managing social media channels, creating content, and promoting upcoming events.
- Coordinate meetings and manage the Managing Director’s diary.
- Provide occasional on-site support to the Managing Director and Event Manager during events.
- Assist in organising and delivering Wiltshire Event Network events.
- Occasional travel to warehouse and other venues required.
- Comply with the Company’s Health & Safety policies and procedures.
- Undertake additional administrative tasks as required by the Directors.
- Maintain confidentiality in all Company matters.
Requirements
- Excellent communication skills, both verbal and written, with professional phone etiquette
- Excellent IT skills, including proficiency in Microsoft Word, PowerPoint, Excel, and Canva.
- Strong organisational and time management skills, with the ability to multi-task effectively.
- A proactive, flexible, and professional approach to work.
- High attention to detail and strong administrative capability.
- Honest, trustworthy, and able to handle confidential information appropriately.
- A collaborative team player with a strong work ethic.
Desirable Skills & Experience
- Previous experience in an office management or administrative role.
- Experience within the events industry, either in an organisational or support capacity.
- Previous marketing or social media experience.
- Experience in website content management.
- Travel coordination experience.
