Main Duties and Responsibilities
· To support the Finance Manager with all finance functions as required. This includes (but is not limited to): accounts receivable, accounts payable, direct income and expenditure, petty cash etc.
· Prepare and input supplier payments and reconcile against accounts
· To Liaise with Foster Carers about payment matters and prepare annual foster carer statements.
· To use the organisations accounting software (Xero) confidently and appropriately.
· To complete all tasks related to daily banking, invoices and data entry.
· To support the administration of corporate credit cards and expense claims.
· To assist colleagues, as required, with the weekly purchase orders. Making purchases where appropriate approval has been given.
· To work within the framework of the organisation’s Finance Policy.
· To support Supervising Social Workers with cost agreements and Individual Placement Agreements.
· To monitor and record Planned Breaks and associated payments
· To monitor and record children’s savings
· To keep accurate records of packages of delivery for children, including monitoring delivery, working with colleagues to ensure packages are delivered and booking provision
· Coordinate the diaries of CFC contracting Therapists
· Oversee the process when a new child moves into CFCs care, including obtaining relevant contractual paper work from the LA.
· Over see the process when a child leaves CFCs care.
· Ensure all Children (in care and birth children) receive birthday cards
· Cover the referrals inbox on a rota system
In addition to the responsibilities laid out i this role has joint responsibility to:
- Provide a professional and friendly front of house service, based on excellent customer service.
- Ensure the office receives sound business support.
- Provide a full range of activities to support and enable efficient and effective meetings Provide written, verbal and e-correspondence, in collaboration with management and operational colleagues, ensuring prompt, courteous and appropriate responses.
- Undertake desktop research on behalf of colleagues and management to inform responses to correspondence received or to enable the completion of specific reports.
- Ensure recording is of a high standard and adheres to the statutory regulations.
- Provide a reliable and accurate administration service to all members of staff.
- Ensure an efficient, polite and professional telephone answering service.
- Comply with administrative regulatory requirements Support the Registered Manager to ensure all regulatory requirements are met.
- Supporting the development of management information systems.
- Contributing to and implementing approaches to improve the quality of data.
- Assist with initial enquiries, ensuring they are dealt with quickly and efficiently.
- Oversee processes and ensure they are completed in line with organisational policies Be part of the referrals monitoring process.
Pay: £25,329.06-£28,329.92 per year
