We are looking for an organised and proactive Administrative Assistant to support our team and ensure the smooth running of our day-to-day operations.
Job Purpose
The Administrative Assistant will provide comprehensive administrative support to consultants and management, ensuring efficient office operations, excellent customer service, and accurate record keeping. The successful candidate will play a key role in coordinating projects, managing communications, and supporting the delivery of high-quality consultancy services.
Key Roles and ResponsibilitiesAdministration
- Provide general administrative support to the management & consultancy team.
- Answer telephone calls and respond to email enquiries professionally and promptly.
- Manage incoming and outgoing correspondence.
- Personal assistant duties to Company Director (triage emails & coordinate diary).
- Maintain organised electronic filing systems.
- Prepare reports, letters, quotations, and other business documents.
- Company wide communications.
- Assist with coordinating company events.
- Presentation and marketing packs (experience with Office PowerPoint / Google Slides).
- Assist in preparing documentation for audits and quality management systems.
- Assist consultants' calendar.
- Coordinate travel arrangements where required.
- Compiling and issuing Risk Assessment and Method Statements.
- Support health and safety administration, including maintaining training and certification records.
- Undertake any other reasonable duties appropriate to the role.
Office Management
- Order office / material / equipment supplies and maintain stock levels.
- Ensure office equipment is serviced and functioning correctly.
- Assist with the implementation of office procedures and administrative improvements.
Stakeholder Support
- Act as the first point of contact for general enquiries.
- Build positive relationships with clients, contractors, and suppliers through professional communication.
- Process enquiries and direct them to the appropriate team member.
- Assist with preparing reports and project documentation.
Financial Administration
- Raise invoices and purchase orders (experience with accountancy/client software).
- Process supplier invoices.
- Assist with expense claims and overtime / travel time.
- Liaise with external accountants when necessary.
Person Specification

- Previous experience in an administrative or office support role.

- Proficient in Microsoft Office and/or Google Software.
