Bonnie Care are a premium care at home service covering Stirling, Clackmannanshire and Auchterarder. We are an independent, family-run business, almost 12 months into trading, and we have grown steadily since.
We value our team, because people who are looked after properly go on to look after others properly. That means paying above the sector norm, keeping visits long enough to do the job well, and treating everyone as professionals rather than as slots on a rota.
We are now at the point where the rota and the recruitment pipeline need someone who owns them properly.
The role
You will own two things: the rota, and the pipeline that gets new carers from application to their first visit.
Those two things together decide how fast we can grow. When a new care package is confirmed, the only questions that matter are whether we have the right carer, in the right place, at the right time, and whether they are ready to start. You will be the person who makes the answer yes.
This is an important role in a small team. You will not be one scheduler among six. You will be the scheduler, working directly with leadership, and you will see the effect of your work on the business within weeks.
What you will do:
Scheduling and rota
- Build and maintain the weekly rota across all clients and carers, using Birdie
- Match carers to clients thoughtfully, taking account of continuity, geography, travel time and the relationships that are already working
- Manage carer availability, annual leave and shift changes
- Arrange cover for sickness and short-notice absence, and escalate promptly when a visit cannot be covered
- Keep clients and families informed of any changes to their visit times
- Make sure every visit is scheduled, allocated and recorded accurately in Birdie
Recruitment and onboarding pipeline
- Manage applications from first contact through to first solo visit, keeping candidates warm throughout
- Arrange and coordinate interviews
- Request, chase and record references
- Submit PVG applications promptly and track them to completion
- Track SSSC registration progress for new starters
- Book induction and mandatory training dates, and make sure new carers are onboarded without avoidable delay
- Keep recruitment and compliance records accurate and up to date
General
- Act as a first point of contact in the office for carers and clients on scheduling matters
- Keep our systems accurate, because good scheduling depends entirely on good data
- Work closely with the Operations Director on planning for new packages
- Join the on-call rota for one weekend in three, following successful completion of probation. On-call is paid separately at a flat rate.
What this role does not include
We are being clear about this because it matters, and because it is often blurred elsewhere.
- This is not a hands-on care role. You will not be expected to cover visits.
- You will not carry out supervisions, spot checks or observations of carer practice. Those sit with our Clinical Quality Lead.
- You will not be responsible for care planning, assessments or clinical decisions.
About you
Essential
- Experience of scheduling or coordinating in care at home, or comparable experience of managing complex rotas where people and timings matter
- Confident with scheduling software and comfortable learning a new system properly
- Highly organised, with the ability to hold a lot of moving parts and stay calm when the day changes
- Clear, warm communicator, on the phone and in writing, with carers, clients and families
- Sound judgement about when to solve something yourself and when to escalate
- Accurate and diligent with records
- Full UK driving licence and access to your own vehicle
Desirable
- Experience of care sector recruitment, PVG or SSSC processes
- Knowledge of Birdie
- Local knowledge of Stirling, Clackmannanshire and Perthshire
- SVQ or similar qualification in health and social care
We are more interested in judgement, reliability and how you treat people than in a particular list of qualifications.
