Legal Secretary
To assist the Departmental Head and other Solicitors/Legal Executives by preparing correspondence and documents through digital dictation in connection with a varied caseload including Wills, Powers of Attorney, Estate Administrations and Estate Planning to enable the team to operate at optimum efficiency and in a professional and efficient manner, meeting with clients' needs whilst contributing to the overall cost-effective management and success of the department.
The position is a job share role working 2 days per week, with the flexibility to cover annual leave/sickness working a maximum of 35 hours per week. The role may in time become a full time position.
Experience
- The preferred candidate will have at least 2 years+ experience in a current Wills & Probate legal secretarial role
- Excellent IT skills to include the use of Proclaim (training can be provided), Diktamen, Excel, Word
- To be able to adapt to and use any software that the Company may wish you to use for the advancement of cases and the Company in an efficient manner
- Excellent secretarial skills
- Fast accurate digital typing skills to a high level and use a high degree of self-management and initiative
- Excellent understanding of legal terminology
- Educated to GCSE level or equivalent
Job Specific Duties
- Diary management to include arranging meetings and appointments
- Completing standard forms
- Photocopying and document collation
- Opening files/database input
- Setting up and managing electronic transfer of funds
- Preparing bills and file notes
- General administration duties and provide support to other secretaries
- Administer filing which includes the opening, archiving and retrieval of client files
- Dealing with routine incoming post/emails
- Front of House cover for Holmes Chapel
- Provide holiday and sickness cover the for your job share colleague, increasing hours as and when required with reasonable notice
- Take direction directly or via dictation and drafting documents, letters and email and arranging appointments
- Ability to work to tight deadlines, work under pressure and remain focused
- A pleasant and positive manner in dealing with colleagues
- An ability to self-report where mistakes/errors have occurred on any case, for any reason, to the department Head
Desirable Criteria
- Knowledge of the Proclaim case management system
- Experience of digital dictation
