About the Role
Edinburgh has a growing base of commercial property, building services, and smart infrastructure businesses, and at Edifice Automation and Smart Systems we help clients keep building systems reliable, efficient, and well supported.
We are looking for a Service Coordinator who can organise service visits, support field engineers, manage customer requests, and keep day to day service activity running smoothly.
You will work closely with engineers, customers, suppliers, and internal teams to make sure service jobs are scheduled correctly, updates are communicated clearly, and technical support activities are completed on time.

Key Responsibilities
Service Scheduling: Coordinate engineer appointments, planned maintenance visits, callouts, and follow up activities based on customer and operational priorities.
Customer Support: Respond to service requests, provide clear updates, and ensure customer queries are passed to the appropriate technical team.
Engineer Coordination: Work closely with field engineers and technicians to confirm schedules, job details, access requirements, and service priorities.
Job Administration: Maintain accurate service records, job notes, work orders, and completion information within internal systems.
Parts Coordination: Assist with arranging required parts, equipment, and materials to support scheduled service visits.
Progress Tracking: Monitor open jobs, outstanding actions, and service deadlines and follow up where delays or additional information are identified.
Documentation: Prepare service reports, customer updates, maintenance records, and supporting documentation as required.
Continuous Improvement: Identify practical opportunities to improve service scheduling, communication, and coordination processes.
What We Are Looking For
Experience: At least 2 years of experience in service coordination, technical administration, field service support, facilities coordination, or a closely related role.
Organisation: Strong planning skills with the ability to manage multiple service requests, engineer schedules, and changing priorities.
Communication: Clear written and verbal communication skills with confidence dealing with customers, engineers, suppliers, and internal teams.
Customer Service: Professional and helpful when handling service enquiries, delays, scheduling changes, or operational issues.
Technical Awareness: Familiarity with building services, maintenance, automation, electrical systems, or technical field service environments is preferred.
Problem Solving: Practical and dependable with the ability to identify issues early and help coordinate appropriate solutions.
Tools: Experience with service management, scheduling, CRM, job tracking, or maintenance management systems is preferred.
Mindset: You are organised, responsive, and dependable. You take ownership of service requests, communicate clearly, and stay focused on keeping engineers and customers informed while helping service activity run efficiently.
Pay: £2,600.00-£3,100.00 per month
