Job Summary
We are seeking a Hire Desk Co-Ordinator to join our small team in a family-owned local business.
The successful candidate will be responsible for creating and maintaining hire contracts and associated movement paperwork for our rental businesses.
Another key part of the job involves the organising, maintaining and the invoicing of site servicing for the equipment on hire to the customers. This requires interaction with both suppliers and the customers to ensure all servicing needs are met, efficiently organised and accurately billed.
Strong office experience and excellent communication skills are needed to deal with a fluid environment of ever changing customer requirements.
The ideal applicant will be comfortable in the use of a range of computer software programs and systems.
This role suits a person confident with verbal and electronic communication skills along with a high level of accuracy and an ability to obtain relevant and complete information.
A good memory is a key advantage along with the ability to multi task and be aware of the ongoing activity in the companies hire environment.
Responsibilities
- Managing day-to-day administrative duties, including hire contract creation, data entry, and document production and management.
- Handling correspondence via email, phone calls with professionalism and courtesy.
- Organising servicing of welfare units hired across the area via a network of suppliers.
- Maintaining accurate records using Microsoft Office applications, Syrinx hire software and access control software.
- Assisting with invoicing, billing, and financial record keeping.
- Responding promptly to internal and external enquiries with appropriate phone or email etiquette.
Experience
- Previous office or administrative experience is essential.
- Previous hire desk experience preferred but not necessary, but must have an appetite to learn the product, its variations and its operation.
- Proficiency in Microsoft Office Suite (Word, Excel).
- Experience with Syrinx or similar Hire software is desirable.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Accurate data entry.
- Demonstrated ability to communicate clearly and professionally both verbally and in writing.

Pay: £24,420.00-£32,760.00 per year
