We are seeking an enthusiastic and organised Administration Assistant Apprentice to join our team and gain valuable workplace experience whilst achieving a nationally recognised Level 2 Administration Assistant Apprenticeship.
Role Purpose
To provide administrative and customer service support across the organisation, assisting with learner administration, employer communications, data management and general business operations. The role will provide practical experience across multiple departments and offer a pathway into a career in business administration.
Key Responsibilities
Learner Administration
· Assist with learner course application administration and document checking.
· Maintain records within company systems.
· Order stationery and supplies.
· Assist with tracking attendance and learning activities.
· Update learner databases accurately and promptly.
· Prepare learner packs and induction materials.
· Administer learner, employer and stakeholder surveys.
Employer Administration
· Support communication with employers regarding appointments, reviews and documentation.
· Maintain employer contact records.
· Support the preparation of employer communications and information packs.
Data Entry and Digital Administration
· Enter information accurately into management information systems.
· Maintain electronic filing systems and shared folders.
· Produce simple reports and spreadsheets.
· Assist with data quality checks.
· Scan, upload and archive documents.
Customer Service and Reception
· Answer telephone calls and direct enquiries appropriately.
· Respond to routine email enquiries.
· Welcome visitors to Head Office.
· Support learners and employers with general enquiries.
· Maintain a professional and friendly customer experience.
Marketing and Business Support
· Assist with updating noticeboards and learner information displays.
· Support recruitment events and open days.
· Help prepare promotional materials and information packs.
General Office Administration
· Order office supplies and monitor stock levels.
· Support diary management and appointment booking.
· Undertake photocopying, printing and document preparation.
Training and Development
As part of the apprenticeship, the successful candidate must be between 16 - 25 and will be required to complete the Level 2 Administration Assistant Apprenticeship, developing knowledge of business administration processes.
