The Reward & Benefits Coordinator helps the team run reward, benefits, recognition and engagement activity smoothly. The role focuses on accurate administration, answering colleague queries, keeping records up to date and supporting projects across the business.
Responsibilities
Reward & Benefits
- Respond to reward, benefit and engagement queries (including benefits in kind, pension entitlements, eligibility queries, wellbeing benefits and recognition), escalating more complex questions to the wider team where needed.
- Administration of benefits and colleague recognition schemes as required, e.g. Long Service Awards, New Babies, Weddings etc.
- Help administer the reward and recognition platform, including adding and removing users.
- With the support of the team, ensure that all information contained within the platform is relevant, accurate and applicable for each respective colleague.
- Support campaigns, competitions and engagement initiatives, including issuing points and prizes.
- Contribute to the delivery of the annual benefits calendar, including benefit renewals, spotlight stories / benefits, campaigns and wellbeing awareness days as required.
- Help develop and maintain benefits communication materials and guides.
- Support and promote colleague awareness initiatives related to rewards and benefits.
- Maintain accurate records of colleague benefits information, including updating the HR & Payroll system with any changes, so that the appropriate benefit in kind tax calculations can be processed.
- Support the delivery of new initiatives as required.
Fleet
- Support the communication of company vehicle policies and processes, helping to ensure colleagues understand what is required and escalating any compliance concerns where needed.
- Maintain our fleet records, systems and processes, ensuring they are accurate at all times.
- Administer fines and our internal recharges process, e.g. for parking fines, with support from the team where required.
- Maintain the vehicle trackers and fuel cards, ensuring they are available as needed
- Monitor the use and condition of the company pool car, coordinating bookings and maintenance as required.
- Work with our fleet management company, helping to solve queries and escalating issues to the wider team when required.
- Review reports, identify issues and share findings with the team in line with agreed procedures. Betfred provides services within a licensed and regulated sector and as such all employees will need to be aware of, and work in accordance with, the conditions and codes of practice applied to our operating licence.
- Maintain car allowance records in accordance with eligibility criteria, ensuring colleagues and Payroll are kept up to date with any changes.
- Track changes in company car allocation and help keep the HR system and company car reporting accurate.
Pensions
- Assist the Pensions Specialist with day-to-day pension administration and help keep related processes up to date.
General
- Complete tasks accurately and efficiently, escalating issues where needed.
- Look for ways to improve processes and provide helpful, reliable service to colleagues.
- Administer the invoice process (tracking invoices, raising them on time, escalating issues and helping to process credits where needed).
- Liaise with brokers and suppliers when required.
- Run reports and analyse information as required.
- Help keep policies, procedures and process maps up to date.
- Support the delivery of the colleague engagement survey as required.
- Any other duties as reasonably required.

What you'll need to succeed
Essential
- Good administrative skills and confidence working with data.
- Strong attention to detail.
- Good time management skills.
- Proficient in Microsoft packages, including Excel.
- An interest in employee benefits, reward or company car schemes.
- Personable, resilient and keen to learn.
- Able to use initiative, ask questions when needed and work well as part of a team.
- A keen problem solver.
- Excellent communication skills, both verbal and written.
- Professional and understands the importance of confidentiality.
Desirable
- Awareness of employee benefits administration, fleet management or pensions administration.
- Experience working in an HR, payroll or benefits function.
- Awareness of benefit in kind, P11D or payrolling benefits processes.
- Completed, or willing to work towards, the CIPD Foundation Certificate in People Practice.
- Experience or knowledge of Resource Link.
- Experience working with different terms and conditions or in a business with more than one company or brand.
